*Patient Care Coordinator*
Metamorphosis Holistic MedSpa, PLLC is seeking a PCC who is energetic, compassionate, has integrity, maintains professional communication, and can multi-task with ease. The ideal candidate must be ambitious, self-motivated, organized, and flexible!
This role is starting part-time (Thurs 9a-7p, Fri 9a-7p and Sat9a-6p) with the potential for full-time.
The candidate must interact in a manner that is friendly, supportive, respectful, and cooperative with co-workers. *Position Overview:*
The Patient Care Coordiantor’s responsibility is to provide customer service, including but not limited to, checking patients in & out of appointments, taking clinical photographs, answering incoming calls, processing payments, aiding in scheduling/re-booking, promoting products/service and aid in marketing.
Responsibilities also include maintaining a clean, stocked, & safe clinic environment, in support of Metamorphosis' mission and core values. The candidate will assist the providers with setting up for aesthetic injectable & skincare procedures and other clinical services.
*Administrative Responsibilities:*
* Greet all patients as they enter Metamorphosis and introduce them to the practice and providers.
* Perform receptionist duties including answering patient phone calls/emails, scheduling, taking payment, managing loyalty programs/memberships and other duties as assigned.
* Serve as initial contact for all new patient inquires.
* Develop and maintain internal patient databases; identify target patients for emailing and phone calls.
* Review pricing and/or financing options with patients.
* Facilitate scheduling future appointments.
* Send check-in emails/texts to patients following aesthetic treatments.
* Provide high quality patient education to patients using Metamorphosis Practice Manuals.
* Assist with patient intake forms in the electronic medical record.
* Successful skincare, haircare, and wellness product sales.
* Competently use QuickBooks, Drive, Microsoft Office (proficient with Outlook, Word, Excel), electronic medical record system, and possess the ability to learn new technologies.
* Manage in social media and clinic marketing/outreach.
* Other special projects or tasks as assigned.
* Obtains photos and referral letters from the referring provider and patient and scans attaches to the patient account upon receipt.
* Reviews messages (voice, email, text and social media) that came in since the prior day and follows up with patients accordingly.
* Confirms patient appointments in accordance with the practice confirmation protocol.
* Keeps staff and MD informed of scheduling problems, issues or concerns, as they arise.
*Clinical Responsibilities:*
* Prepare treatment rooms for the patients.
* Assist with clinical procedures, as needed.
* Assist/Scribe treatment notes for providers.
* Clean and sterilize instruments and equipment.
* Order and stock medical supplies if required.
* Follow detailed policies/protocols.
*Professional Responsibilities:*

* Possess a thorough working knowledge of all Metamorphosis' medical protocols, standard operating procedures, and policies.

* Participate in meetings, conferences seminars, promotional events, trainings and other educational and business events on a regular basis.
* Commit to achieving established clinic goals provided by the practice manager and the owner.
* Collaborate with all medspa teammates to ensure the growth of the business and the integrity of the Metamorphosis'' mission and vision.
*Team Responsibilities:*

* Coordinate scheduling with patients, providers, reps/colleagues
*Knowledge/Skills/Abilities:*
* Ability to explain instructions to others with less technical knowledge.
* Proficient in using conflict resolution and problem-solving techniques to manage interpersonal conflict, complaints, and other discord amongst staff or patients.
* Knowledge of English composition, grammar, spelling, and punctuation.
* Skilled in the use of standard office equipment including telephones, calculators, copiers, fax, computers, and computer software (MS Excel, Word, practice management software).
* Ability to maintain composure and professionalism when exposed to stressful situations.
* Ability to engender trust from the doctor, co-workers, and patients.
* Maintain confidence with the patient regarding abilities of doctors) and staff.
* Ability to work cooperatively with management, staff, and patients.

*Qualifications:*
* CPR Certified
* Blood Borne Pathogens Training
* MA/Nursing Assistant/Phlebotomy preferred, but not required
* Excellent English verbal and written communication skills.
* Knowledge of sales strategies for selling non-surgical procedures: laser hair removal treatments, laser skin rejuvenation treatments, injectables, fillers, and medical esthetician treatments. Experience with up-sell/packages and cross-selling.
* Current aesthetic knowledge as well as skilled in EMR.
