Job Title: Purchasing & Inventory Coordinator
Compensation: $55,000 - $65,000 (based on qualifications)
Position Summary
This position is responsible for maintaining and tracking the Hire & Demo and Account Managers equipment inventory in the field and internally. This position is also responsible for working with Sales and CX Teams by notifying them of supplier and internal company shortages and extended lead-times.

Main Responsibilities/Essential Functions
- Create and track purchase orders for third party suppliers.

Review critical exceptions and purchase order exception report daily. Updating PO’s and contacting suppliers about delivery issues.

Responsible for the AE process for Oracle. Consolidate and create forms for part creation by accounting.

Develop and maintain floor inventory pull systems with label and ribbon suppliers.

Document and discuss SLA’s with suppliers.

Support Customer Service with the drop ship orders. Provide coaching/training when required.

Add Freight Charges & tracking numbers to Drop shipment orders. Works with Operations to close drop ship orders.

Communicate delivery issues to all parties. Maintain this information on the Dashboard for W01 and H03 warehouse.

Create and set up new parts in Oracle ASCP for drop shipping and all purchasing functions.

Maintain Standard cost/Purchase price on Oracle. Work with accounting on the list price.

Work with Project Management and suppliers on ordering customizations and solutions for customers.

Enter and coordinate internal orders for account mangers demo equipment, spares and consumable items

Maintain the Laser loaner pool for quick dispatch to customers.

Order H&D equipment, consumables and quickship printers for DP.

Track inventory of all H&D in the field.

Minimize H&D Spend on Spares and Accessories.

Report Trials and Fire sale status monthly to sales team.

Complete Annual Inventory of all H&D equipment.

Coordinate all trials, loaners & rentals beginning with the salesforce request to processing all items/inventory on oracle.

What You Need
Education & Experience
- Bachelor’s degree with at 4 years of experience; or at least 6 years of relevant experience
Skills & Knowledge
- Excellent Communication Skills
- Able to work with different levels of employees/customers
- Excellent time management skills with a proven ability to meet deadlines

Strong knowledge of Microsoft Office – Excel; PowerPoint and Word

Strong analytical and problem-solving skills

Ability to prioritize tasks and ask for help when necessary
Physical Demands
- Sedentary work. Sedentary work involves exserting no more than 10 pounds of force at a time and occasionally lifting or carrying articles like docket files, ledgers, and small tools. A certain amount of walking and standing may be necessary in carrying out job duties.
