JOB TITLE: Human Resources Site Timekeeper

LOCATION: 9413 Flatlands Avenue, Brooklyn, NY

REPORT TO: Director of Human Resources and Clinic Director

DEPARTMENT: Human Resources

We believe that in-person operations are the best way to serve our clients, both directly and through essential operational support. This full-time position requires in-person attendance with a team at 1 assigned Brooklyn clinic location.

Certified Community Behavioral Health Clinic (CCBHC) Core Services includes:

● Crisis mental health services including 24-hour mobile crisis teams, emergency crisis intervention, and crisis stabilization; Screening, assessment, and diagnosis including risk assessment; Patient-Centered treatment planning or similar processes, including risk assessment and crisis planning; Outpatient mental health and substance use services; Outpatient clinic primary care screening and monitoring of key health indicators and health risk; Targeted case management; Psychiatric rehabilitation services; Peer support, counselor services, and family support services; and, Intensive community-based mental health care for members of the armed forces & veterans.

SUMMARY: We are seeking to hire a dynamic, articulate and engaging team player as the HR Timekeeper dedicated to the function of one assigned Brooklyn clinic. The primary responsibilities of this individual will be to provide high level Human Resources support to our dedicated staff of professionals. Timekeeping is a critical function. The timekeeping function requires accurate and timely recording of time and attendance. Timekeeping must be done in accordance with federal and state guidelines as well as Interborough policies. Timekeepers are NOT permitted to make any changes to the actual work time as recorded by the employee. Duties are tied to the tracking and validation of employee attendance onsite as well as remotely, including but not limited to time off requests, training requests, and changes in shift or attendance for the verification of timesheets.

JOB DESCRIPTION:

Daily - Review all electronic timecards to ensure staff are properly recording their time as per company rules.
Respond to incoming emails related to errors, and adjustments that need to be corrected on staff’s timesheets.
Ensure all timesheets are processed and approved final by prescribed deadlines.
Monitor and track time usage and accruals for all employees.
Generate confidential reports from our time tracking software Finger check and forward to HR Director and Clinic Director weekly.
After the payroll has processed, complete corrections in Finger check and notify payroll.
Obtain Supervisor approval of PTO requests.
Respond to all employee inquiry requests timely.
Ad Hoc reporting as needed.
Perform other related duties and projects, as assigned.
Follow policies, procedures, and protocols to ensure compliance with CCBHC and Agency Human Resources requirements and regulations for EOE.
Participate in audits and reviews to ensure accuracy of tracking and as directed by the Director of Human Resources and Clinic Director
Complete agency organizational trainings to improve cultural competency, supporting trauma informed services and building collaboration as they align to CCBHC and Agency specific mission.
Perform other work-related duties as assigned.

EXPERIENCE:

Ability to work efficiently in a fast-paced environment.
Proficient with word processing, electronic health records, and electronic communications.
Well-organized with strong time management skills. Enthusiasm and self-motivation regarding identifying client needs and obtaining related resources.
Able to work independently and as a member of a team.
Excellent interpersonal skills, including being able to maintain a professional temperament with both clients and colleagues.
Comfortable and competency working with racially, culturally, religiously and ethnically, linguistically, differently abled diverse communities, including but not limited to BIPOC and LGBTQ+ communities.
Bilingual skill in a language other English (i.e. Spanish, Russian or Cantonese) is valued.
