Job Summary:

The Assistant’s principal tasks include: assisting visitors, responding to email and phone communications, and maintaining department spaces, policies, and procedures. This role will provide administrative support to the Director of Residential Life & The Director of Housing Operations and Non-Residential Student Support.

Job Description:

DUTIES AND RESPONSIBILITIES:

Provide general administrative support to the Department of Residential Life & Housing and direct them to relevant staff as needed. This includes serving as the primary point of contact for business pertaining to the department with a focus on assisting visitors and guests, answering email and phone communications, and preparing the department for any scheduled programs, activities, or initiatives.
Work closely with campus departments to provide information & services related to the Department of Residential Life & Housing.
Participate in cross-training with the other administrative assistants to help with processes associated with the key system, secondary support for auxiliary residential services, budget transfers, and other administrative processes. Assist departmental staff during high-volume times for their areas of focus (i.e. opening, closing, and training).
Assist in entering and following up on work orders as needed. Additionally, share management of room and suite condition reports, and coordinate follow-up for conditions that require attention for damages.
Assist with administrative coordination of all check-in / check-out and room change periods for the department.
Coordinate services with other campus departments or outside vendors as needed.
Assist in the general day-to-day operation of the main office. Including the maintenance of office-specific calendars (i.e. Conference Room Reservation, Weber Lounge Reservation, & Duty Staff).
Monitor and reserve room reservations for the department via the online EMS system. In addition, coordinate with Facilities to arrange for set-up and clean-up after the event.
Perform other related duties as assigned.

Skills, Qualifications & Requirements:

QUALIFICATIONS:

High School diploma plus a minimum of two years of related office experience – OR – at least two completed years of college coursework (BA preferred)
Competency working with computers including Google Suite, Microsoft Word and Excel. Knowledge of Microsoft Publisher is a plus.
Ability to work independently and in partnership with others
Ability to work well under pressure
Display good judgment in dealing with students, faculty, staff, parents and the general public
Maintain confidentiality related to sensitive office and student information

This is a 2110 grade VII position.

Pay Range: $30.88/hr - $30.88/hr*

Effective July 1, 2024, the pay rate will increase to $32.11/hr

The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The above hiring range represents the College's good faith and reasonable estimate of the range of possible compensation at the time of posting.
