Founded in 1979 as a non-profit 501 (c) (6) organization, the Hispanic American Construction Industry Association (HACIA) is a construction advocacy, training, and membership organization. With over 300 members, HACIA provides a range of technical and supportive services to assist minority, women, veteran, and disadvantaged business enterprises (M/W/V/DBE) in addition to workforce development training in the construction and professional services industries. Position Summary:
The Membership and Events Coordinator manages membership recruitment, retention, and engagement efforts and coordinates and executing events that enhance the member experience. This role requires strong organizational, communication, and interpersonal skills to effectively engage with current and prospective members and ensure the successful planning and execution of events.
Essential Duties and Responsibilities:
This position will require you to be able to complete the following essential duties, though this is not an exhaustive list and HACIA may amend this job description at any time and at its discretion:
Membership Management
- Collaborate and assist with developing and implementing strategies to recruit new
members and retain existing members.
- Manage and maintain membership database, ensuring accurate and up-to-date records.
- Respond to membership inquiries via phone, email, and in-person.
- Process membership applications, renewals, and cancellations.
- Prepare and distribute membership materials, including welcome packets, renewal notices, and newsletters.
Member Engagement
- In collaboration with the Membership Manager plan and execute member engagement activities and programs.
- Assist in conducting surveys and gather feedback to understand member needs and preferences.
- Develop and maintain relationships with members to foster a sense of community and belonging.
- Support with organizing networking opportunities and facilitate member-to-member connections.
Event Coordination
- Collaborate and assist with planning and execute various events, including conferences, seminars, workshops, and social gatherings with the Membership and Event’s Team.
- Assist with developing event concepts and themes in alignment with organizational goals.
- Coordinate event logistics and assist with catering, and audiovisual needs.
- Coordinate event marketing and promotion efforts to ensure high attendance and engagement.
- Handle on-site event coordination, including registration, setup, and teardown.
Marketing and Communications
- In collaboration with the marketing team, create and distribute marketing materials, promotional campaigns, and communications to promote membership and events.
Administrative Support
- Maintain organized records of membership and event activities.
- Prepare reports and presentations for management and board meetings.
- Assist with budget preparation and expense tracking for membership and events.

Education/Experience:
- Bachelor's degree from four-year college or university; or two to four years related experience and/or training; or equivalent combination of education and experience.
- At least three years of experience in membership development or related roles within a nonprofit organization; or equivalent combination of education and experience.
Language Ability:
Read, analyze and interpret business, professional, technical or governmental documents. Write reports and business correspondence. Effectively present information and respond to questions from managers, customers and the public.
Computer Skills:
Proficient in MS Office, particularly (Outlook, Word, Excel, PowerPoint, and Teams).
Salesforce is a plus but not required.
Other Required Qualifications include the following:
- Outstanding oral and written communication skills.
- General understanding of the construction industry is a plus.
- Experience working with minority-owned contractors is preferred.

Work Environment:
The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. The work environment is generally a normal office environment but there may be occasions that require travel throughout the city and greater Chicagoland area.
Physical Demands:
The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
Prolonged periods of sitting at a desk and working on a computer. Must be able to lift up to 20 pounds at a time. Will be required to use hands to finger, handle or feel as well as reach with hands or arms most of the time. Prolonged periods of moving around event spaces/meeting locations during various events and meetings to prepare, organize, set up event spaces, and to network/build relationships with HACIA members as well as potential hiring partners.
