Administrative Intake and Resource Coordinator (Required Bilingual)
The Administrative Intake Coordinator's primary responsibility requires outreach and engagement of new clients, Resource planning and distribution, case management by appointment, which includes screening, interviewing, assessing needs, promoting the agency's grants, organizing and providing services for the underprivileged and unhoused at our centers, and working directly under the Program Director, Program Manager, and Specialist.
The Administrative Intake Coordinator’s responsibilities will include heavy customer service, good people skills, and the expectation to use the harm reduction model to maintain high-quality services while fostering collaboration between clients and programs. This person must build strong relationships with our partners and service providers and ensure clients receive the best care possible. This position will also research and assist with program/agency expansion and organization. This position is HIS-OC supportive services (Transitional House, TAY, Centers, Emergency Shelter, and CalAIM), and assignments are subject to change by directives of program compliance, funding, and needs as directed by the position’s direct report.
ESSENTIAL DUTIES & RESPONSIBILITIES
Conducting intake and needs assessments.

Initiate contact-building caseloads-identify program qualification.
Collaborating with clients or other service providers
Assistance case management for all HIS-OC programs

Enrolling Clients in Supportive Services within OC
Assistance case managers with obtaining identification documents

Creating housing portfolio
Assistance with service application and admin tasks
Providing referrals and linkages to substance abuse, primary, and mental health care services
Providing a high-quality customer service environment for all clients and guests
Maintaining documentation standards as set forth by the program contract and Homeless Intervention Service of OC
Coordinate services with partner agencies as needed, and assist with the completion of forms, including Disability and Medi-Cal eligibility when applicable.

Creating job search board for all programs
Assists creating a program for improving home management skills, family coping parenting skills, self-esteem, anger management, and stress management.
Travel with the tenant to appointments when necessary.
Participate in weekly team meetings as requested.
Attend all required training to ensure individual and professional growth.
Answer telephones and respond to email inquiries in the office.

Update data per program as needed

Collaborate and support with Family Solutions Case Manager/ Navigator

Attend meetings and classes as directed
QUALIFICATIONS
Required: Bachelor’s degree from an accredited college or university in psychology, social work, human services, or a related field OR 2 years of experience providing services to homeless populations.
Previous administrative experience preferred
1-2 years of experience working with homeless and/or low and mixed-income populations in addition to experience in child welfare, family work, and substance abuse
Have an understanding of low-income and homeless individuals and their specific needs
Knowledge of crisis prevention, intervention, goal setting, and resolution techniques; should be able to match such techniques to particular circumstances and individuals
Previous administrative experience preferred
Proficient skills in Microsoft Office, including Microsoft Word and Excel

Excellent customer service, communication and problem-solving skills • High-quality organizational skills
The ability to work well under deadlines and to multi-task
The ability to build relationships and coalitions with the community

Special Requirements
This position requires the incumbent to work sporadically on evenings or weekends for events as needed. Successfully pass a background check.
This position participates in weekly meetings with Management and one-on-one sessions with the Program Manager.
