Position Specific Summary
The Planner Scheduler position at the City of Tucson’s Parks and Recreation Department provides support through planning and scheduling maintenance work in cooperation with department management to improve efficiency, quality, and productivity in park services. Key responsibilities include assisting in the management of maintenance requests, overseeing job orders, coordinating maintenance tasks and activities with internal departments and external vendors, and monitoring progress. The position involves maintaining records, providing administrative support, providing training on asset and task management systems, and establishing short and long-term plans by analyzing resources and workloads to ensure effective park maintenance.
Work is performed under the supervision of the Parks and Recreation Superintendent.
This position does not supervise.
Duties and Responsibilities
Planning & Scheduling (30%) - Essential
Plans and schedules work and processes to improve efficiency, quality, and productivity. Establishes short-range and long-range plans by analyzing resources and backlog to ensure delivery of park services. Performs assessments of trends and identifies areas of improvement based on information that is available to them through the data collected through software managed by the position.
Administrative Support & Documentation (30%) - Essential
Administers work orders and requests for service by receiving orders, prioritizing work, and completing documentation. Maintains records and files for reporting and analysis by preserving records and databases of work scheduled and completed and analyzing actual costs for future planning. Manages work orders, maintains records, and completes documentation to ensure efficient park maintenance operations. Uses GIS and mapping skills to assist in department data management. Produces reports pertaining to work orders for use by senior-level staff to make assignment decisions. Collaborates in department meetings and contributes to planning initiatives including park site visits.
Coordination (25%) - Essential
Coordinates work activities by scheduling approvals, permits, and dispatches work assignments to supervisors. Monitors and sustains work progress by tracking workflow, verifying availability of parts and equipment, and rescheduling work as needed. Utilizes information gathered to inform department of strategic plan and assist in tasks associated with plan implementation.
Training & Development (10%) - Essential
Provides training by developing and presenting training on equipment safety, technical issues, and other systems. Provides access and facilitation for new and current staff to best use work order system. Create modules and guides on various aspects of workflow related to work orders, park inventory, and how to participate in department functions related to completing public and internal generated work orders.
Other Duties as Assigned (5%) - Non-Essential
Performs all other duties and tasks as assigned.

MINIMUM REQUIRED QUALIFICATIONS:
Education:
High school diploma or equivalent
Work Experience:
Three (3) years of directly related
Any combination of relevant education and experience may be substituted on a year-for-year basis.

PREFERRED QUALIFICATIONS:
Experience using Geographic Information Systems (GIS).
High level of competency in using computers, and adept at learning new software, and ability to prepare data in format for use by others.
Analytical skills and experience in taking raw data and formatting it for use in reports.
Presentation skills, to allow wider audience education on data managed through daily work., Valid and unrestricted Class D Driver License - Arizona Department of Transportation - Motor Vehicle Division

COMPENSATION & BENEFITS
Minimum Hiring Salary: $26.57
Dependent upon experience, qualifications, and successful completion of any applicable job training**
Full Hourly Range: $26.57 - 45.84 USD
