We are looking for a Contract and Payroll Coordinator to join our project management team. This is a $70-80,000 year career and personal development opportunity, supporting our organization with efficient and successful project delivery and customer service. We are a small concrete manufacturing company with less than 50 employees that’s been in business for more than thirty years and has a new office and production facility in Puyallup, WA. We make things out of concrete and product manage more than one-hundred projects a year. Our projects range in value from $10,000 to several million and our customers are general contractors, developers, architects, and Government entities. We provide turn-key design and manufacturing with the occasional installation of architectural precast concrete products throughout the pacific northwest.
The Contract and Payroll Coordinator will support the project management process of our operations and work on the front lines with our customers in delivering a quality process. The ideal candidate will be self-motivated, organized, and detail-oriented, with a positive attitude and the ability to work well as part of a team and independently. This position is full-time (40 hours/week) with benefits, as part of the project management and production team in Puyallup, WA. The Contract and Payroll Coordinator will support the project management process through all phases of project delivery and should be day one proficient and expect responsibilities including but not limited to:
· Reading project specifications and project plans.
· Reviewing subcontract and purchase agreements.
· Tracking job costs and producing cost reports.
· Tracking payroll and labor cost allocations.
· Administering contracts and ensuring compliance.
· Project scheduling and critical path maintenance.
· Prepare monthly customer billings with back-up.
· Prepare and tracking change requests and customer change orders
· Monitoring compliance with contractual responsibilities
· Obtain, submit, and track Insurance Certificates and Notices of Right to Lien
· Support Estimators, Project Managers and Accounting staff with various documentation research, assembly, and submission.
· Know the contracts and understand the ramifications and requirements.
· Initiate job setup in Smart Sheets.
The ideal and most successful candidates will likely have multiple years of previous project administration experience and have worked in the construction or manufacturing industry. A solid understanding of project management processes is a must as well as an advanced understanding of contract language and performance agreements. The successful Contract and Payroll Coordinator will likely have the following experience and qualifications:
· Two years of accounting and construction contract administration experience
· Knowledge of construction industry business practices and construction contracts
· Must multi-task well and have great attention to detail.
· Excellent analytical skills & detail oriented
· Problem solving attitude
· Sound organizational skills
· Excellent written and verbal communication skills
· Ability to maintain a cooperative and professional attitude with co-workers, vendors, subcontractors, and clients at all times.
· Mastery of Smart Sheets and all MS Office software.
