Rothman Orthopaedics is looking to hire a full time Office Manager of Research based in our Center City Philadelphia office!
Schedule: Monday through Friday 8 AM to 4:30 PM
Job Summary:
Provide assistance and oversight for timely billing related to various key milestones for clinical trials and other industry sponsored research projects. Accounts management related to research employee salary and end of year budget. Operations management of the research division located at 125 South Street 10th floor suite. Onsite contact with SSH management properties for all items that need to be addressed regarding the work environment. Get matters addressed in a timely manner.
Essential Duties:

Preparation and payment of research-related invoices for meetings/conferences. This includes reimbursement of research personnel and invited guests for participation in approved conferences and meetings and maintenance and so on.

Time keeping for research personnel which includes registration of time-in and time-out for full-time and part time employees. Approval and administration of vacation time, sick time, and maintenance of records related to personnel leave of absence, Through Paycom.

Establish work procedures and resolve problems that may occur between various projects and research divisions.

Work with various research fellows and visiting scholars with logistics of operating room and clinic shadowing clearances into the various hospitals and clinics.

Work with student volunteer program with compliance (Software users agreement & volunteer forms) and allocation appropriate division

Work with rotating International scholars and visitor program with compliance (Software users agreement & volunteer forms) and paperwork completion. This includes keeping track of arrival and departure times for visiting scholars. Through the Office of International Affairs (OIA).

Maintain OR clearance program for students, research visitors and international research related quests. Point of contact for OR in regards to visitor clearance.

Summer student’s program (Application form update, application review, capacity maintenance).

Interview for new personnel, research fellows, international visitors, and clinical coordinators

Office maintenance and daily operations.

Managing Outlook schedules between 5 team members for anyone requesting personal or virtual conferences.
Qualifications:

Bachelor's Degree or Equivalent required

Experience and/or knowledge of Accounts Receivables and basic Accounting preferred

Office 365 knowledge required
