Job Description:
Long-standing, successful, family-owned multi-franchise automobile dealership group located in Washington, Pennsylvania seeking an experienced and motivated accounting professional to assume the role of Controller. - Controller will be in-charge of managing an accounting staff of 3 to 5 experienced individuals, monthly closing of books and reconciliation of accounts, monthly financial statement preparation and submittal, coordination of payroll, accounts receivable/payable, sales tax filings as well as financial reporting to ownership and oversight over some elements of health benefits and human resources. - Automobile dealership experience of at-least 4 years in a position as assistant controller or controller is required. Experience with CDK DMS system, Excel, Word is also required. A working knowledge of Generally Accepted Accounting Principals and financial statement preparation is a must.
Responsibilities:
The Controller will oversee all functions within the accounting department and is responsible for coordinating and directing the accounting staff as well as providing sales and expense analyses for all departments. The Controller will compile the accounting data to prepare accurate monthly financial statements for review by Ownership Group, CFO and General Manager for submittal to the manufacturer. The Controller is also responsible to implement internal controls in all departments of the business including Accounting, Sales, Service etc.
RESPONSIBILITIES:
The Controller reports to the Chief Financial Officer and the Ownership Group and will work closely with Management and other departments to promote efficient and effective practices within the dealerships and related businesses. As well as:
- Supervise and review the work of the accounting staff including accounts payable, accounts receivable, cashiers, payroll etc.
- Ensure bank deposits (including ACH) are made and recorded daily
- Ensure that all account reconciliations are completed on a monthly basis including floor plan, bank, finance reserves, parts, accounts payable etc
- Supervise and complete monthly closings of the books
- Post monthly standard entries by the 15th of the month
- Prepare complete financial statements for review by ownership, CFO and management and submittal to the manufacture and within established timeframes.
- Understand, Interpret and analyze financial statements.
- Keep the Ownership, CFO and General Manager informed on the trends and cash needs of the business.
- Develop and maintain an effective cash management system.
- Manage the day to day accounting operations to ensure that all transactions are recorded in compliance with the dealership accounting processes and policies for each franchise.
- Ensure that title work is processed accurately & timely
- Ensure that vehicle inventory is stocked in daily as received
- Ensure that vehicle sales, service, parts & body shop sales are processed daily & posted to accounting
- Review outstanding repair orders (WIP) to verify they are being closed on a timely basis. days.
- Body shop tickets will require inquiry to determine status of the job
- Review open parts tickets to verify they are being closed on a timely basis.
- Each month have sales managers take physical inventory of vehicles and reconcile to general ledger.
- Ensure that monthly accounts receivable statements are mailed on a timely basis each month (includes inter-company) and timely collection of outstanding accounts
- Ensure WIP is reconciled
- Manage and safeguard assets and ensure that internal controls are in place.
- Respond to request for information and assistance in a timely manner.
- Work with Ownership, CFO and General Manager to improve revenue or reduce expense in order to meet or exceed budget and grow the business.
- Provide information and reports for the preparation of annual tax returns and interact with CPA firm personnel to answer questions and make necessary adjustments
- Work with 401(K) auditors annually to comply with ERISA and IRS requirements including the preparation of reports for the auditors.
Requirements
- Bachelor's Degree with accounting focus preferred
- Working knowledge of GAAP
- Minimum 4 years automotive dealership accounting experience as a controller or assistant controller
- Extensive knowledge of CDK or R&R - DMS system
- Extensive knowledge of manufacturer, bank, and floorplan reconciliations
- Extensive knowledge of accounting schedules/controlled accounts/general ledger
- Extensive knowledge, and proficiency, in the use of Microsoft Excel and Word
- Working knowledge of dealership financial statements
- Working knowledge of dealership accounting month-end close
- Working knowledge of state sales, use and tire tax filings
- Working knowledge of most accounting office positions
- Working knowledge of all payroll administration and payroll preparation
- Supervisory experience
- Strong work ethic/attendance accountability
- Strong process improvement involvement(problem/resolution)
- Ability to explain technical financial information in an understandable manner
