Position Overview:
The Executive Assistant will provide a variety of administrative duties, some of a confidential nature that will allow the Executive Director and Executive Team to better perform their roles This role reports to CEO/President.
Key Responsibilities:
- Completes a broad variety of administrative tasks for the Executive Director, including managing a calendar of appointments, completing expense reports, composing and preparing correspondence, preparing agendas, and compiling documents for meeting preparation
- Plans, coordinates and ensures the Executive Director’s schedule is followed and respected; Acts as "gatekeeper" and "gateway", creating win-win situations for direct access to the Executive Director’s time
- Researches, prioritizes, and follows up on incoming issues and concerns addressed to the Executive Director, including those of a sensitive or confidential nature; Determines appropriate course of action, referral, or response
- Provides a bridge for smooth communication between the Executive Director and internal departments; Demonstrates leadership to maintain credibility, trust and support with all team members
- Works closely and effectively with the Executive Director to keep them well informed of upcoming commitments and responsibilities, following up appropriately; Acts as a "barometer," having a sense for the issues taking place in the organization and keeping the Executive Director updated
- Coordinates Board and Committee meetings, including invitations, technology, and administration of the meeting
- Successfully completes critical aspects of deliverables with a hands-on approach, including drafting correspondence, and other tasks that facilitate the Executive Team’s ability to effectively perform their roles
- Conserves the Executive Team’s time by proactively reading, researching, and routing correspondence; collecting and analyzing information; and initiating communications.
- Accurately records and distributes minutes from internal and board meetings.
- Assists with front desk coverage as needed
- Reconciles and assists with donor entry information into appropriate system
- Assists with accounts payable and accounts receivable as needed, including copying and distributing checks and processing deposits
- Assists Finance Team with documentation tracking and retention, including audit, funder or team member assistance
- Provides historical reference by developing and utilizing filing and retrieval systems and recording meeting discussions
- Contributes to team effort by accomplishing related results as needed
Qualifications:
· Congruence with agency mission required;
· 2+ years progressive Executive Assistant experience required, familiarity with non-profit setting preferred;
· High School Degree required;
· Demonstrated skills, knowledge and experience in the following areas required:
o Microsoft Outlook Word, Excel and Power Point
· Demonstrated professional writing skills;
· Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail;
· Demonstrated proactive approaches to problem-solving with strong decision-making capability;
· Very strong interpersonal skills and the ability to build relationships with stakeholders, including staff, board members, external partners and donors;
· Valid driver’s license, proof of automobile insurance, ability to drive an agency vehicle, ability to successfully to pass a criminal background check required;
· Physical ability to lift and carry file boxes and supplies up to 25 lbs. occasionally required
· Require notary certifications or willing to obtain.

Pay: $42,000.00 - $52,000.00 per year
