Administrative Assistant
The Wellness Center is an Outpatient Mental Health Center that is rapidly growing. We take pride in providing quality, competent services to individuals in the community. We are a close-knit group looking to add another member to our team.
Administrative Assistant Job Responsibilities:
- Present as the friendly and resourceful face of the office
- Ensure efficient and confidential client management processes
- Supports company operations by maintaining office systems.
- Maintain a clean and accessible office
- Cultivate confident relationships with new and existing clients
- Act as a liaison between providers, clients, and visitors
- Welcome visitors and patients at the front desk of the office
- Schedule appointments for clients
- Record and organize client records utilizing appropriate software
- Maintains office services by organizing office operations and procedures, controlling correspondence, designing filing systems, reviewing and approving supply requisitions, and assigning and monitoring clerical functions.
- Serves as point of contact for all outside referrals
- Keeps management informed by reviewing and analyzing special reports; summarizing information; identifying trends.
- Keep up-to-date with changes in medical and insurance legislation
- Contributes to team effort by accomplishing related results as needed.
- Provides day-to-day administrative support (such as calendar maintenance, meeting scheduling, travel, etc.)
- Handles mail, invoices, and accounts payable
- Ensure compliance with procedures
- Process insurance claims for services rendered in compliance with law requirements
- Screening and where possible, responding appropriately to emails on increasingly complex matters, in a manner that reflects an ability to discern between critical and less urgent matters
- Procures equipment (phones, IT equipment)
- Supports offsite meetings and conferences sponsored by the CEO
- Assists with social media influence and marketing
- Assists with tasks delegated by the Management Team as needed.

Qualifications / Skills:
Education, Experience, and Licensing Requirements:
- Bachelors Degree, Master's Degree Preferred
- Two to three years’ experience in a mental health office setting
- Proficient with office software
- Superb Organization
- Strong Communication Skills
- Team Player
Work Schedule: Monday through Friday (In-Person)
Pay: $17.00-$19.00 an hour
Job Type: Full-time
Pay: $32,000.00 - $42,000.00 per year
