Responsibilities
- Oversee the work of administrative employees to ensure productivity and efficiency, create standard operating procedures for the administrative function, and counsel and coach employees as needed.
- Assist in ensuring timesheets/payroll is completed timely and accurately, including job costing, for all territory employees, and ensure prevailing wage hours are accurately identified/captured.
- Prepare and submit required apprenticeship/prevailing wage compliance documentation to appropriate parties and various portals according to company procedure and contract requirements.
- Generate and send out/upload customer invoices per the project tracker, customer requirements, and contract requirements. Review/code accounts payables according to job/classification, getting manager approval when needed. Review accounts payable aging reports, performing collections when needed.
- Create and maintain territory customer cards, job cards, vendor cards, and job tickets in accounting system.
- Maintain vehicle, equipment, and employee training logs/files.
- Complete new hire orientation/paperwork with territory new hires, and ensure that they are scheduled for/complete required trainings.
- Coordinate travel for territory personnel and prepare/submit expense reports.
- Answer telephone calls and emails and maintaining various digital and physical files.
- Other duties as assigned.
Qualifications
- Bachelors degree in business administration or related field.
- 4+ years of related experience in the construction industry and experience with prevailing wage and online construction portals (LCP tracker, Procore, Ariba, etc.)
- Excellent verbal/written communication skills and interpersonal skills.
- Excellent organizational skills and attention to detail.
- Excellent time management skills with a proven ability to meet deadlines.
- Strong analytical, critical thinking and problem-solving skills.
- Strong supervisory and leadership skills.
- Ability to prioritize tasks and to delegate them when appropriate.
- Proficient with Microsoft Office Suite.
Job Type: Full-time
Pay: $70,000.00 - $80,000.00 per year
