Position Description:
The Front Desk Receptionist is responsible for providing support for patient access which includes scheduling, registration, insurance verification, distribution and collection of sliding fee applications, collection of patient payments, and managing administrative tasks for the organization. The receptionist will be responsible for responding to email and phone messages in a timely manner. This position serves as the initial and primary contact for the general public and established patients, directing or referring them to the appropriate contact or program.
Responsibilities:
1. Complies with Health Insurance Portability and Accountability Act (HIPAA) regulations, all patient information will be strictly accessed and be always handled in a confidential manner. Access to Patient Health Information shall be limited to only those persons needing such information to perform the specific duties of their job (such as direct patient care, patient billing or quality assurance review).
2. Enrolls new patients and assists them to complete initial paperwork and intake process. Assures that all forms are completed, medical insurance is verified, provides copies of patient notices, and answers patient questions. Serves as first contact to public and patients.
3. Responsible for patient registration to include verifying patient information at time of pre- registration, verifying medical insurance eligibility and collecting payments.
4. Prepare and balance daily collection/cash logs for deposit. Deposits will be placed in black lock box for next day retrieval via the billing department.
5. Responsible for all aspects of scheduling patients for services which includes securing appointments, reminders, follow up on missed appointments, and assistance with scheduling and coordinating patient transportation.
6. Assist with maintaining patient information in database, updating all inactive, deceased, bad address files to provide accuracy within database on patient demographics and statistical reporting.
7. Responsible for reviewing all discount fee applications for accuracy and completion.
8. Assists with determining eligibility of patients for sliding fee rates and updates billing applications with accurate fees to patient accounts.
9. Schedule follow-ups, collect payment and update information in the office’s online patient portal.
10. Maintaining a neat and professional appearance of the reception area and information bulletin boards.
11. Answering phone calls, creating appointments, directing the calls as required and handling all queries
12. Data entry of all encounters.
13. Notifying providers of patient arrival
14. Maintaining office inventory and equipment by anticipating supply needs and expediting supply orders
15. Review patient accounts and prepare statements to mail out.
16. Receive incoming packages, process package slips and invoices, and ensure their efficient distribution to respective departments.
17. Other duties as directed by the Programs Manager.
Qualifications and Skills:
1. Resident of Maui.
2. High school graduate.
3. Strong computer, data entry and office management skills
4. Basic accounting and math skills
5. Excellent verbal and written communication skills
6. Preferred experience in medical front desk duties including insurance verification and cash collection.
7. Customer service experience, good interpersonal skills, friendly and courteous.
8. Ability to communicate with people with various levels of medical knowledge in both written and verbal forms.
9. Organizational and time management skills and ability to complete multiple tasks with little supervision.
10. Attention to detail and problem-solving skills
11. Clean traffic abstract with current valid Hawaii State driver’s license and transportation.
