Job Overview:
We are seeking a dedicated and organized Pediatric Therapy Office Manager to oversee the administrative operations of our practice. The ideal candidate will have experience in healthcare administration, strong leadership skills, and a passion for working with children and families.
Responsibilities:
- Manage day-to-day operations of the pediatric therapy office, including scheduling, patient registration, and billing processes.
- Supervise administrative staff, including receptionists, billing specialists, and administrative assistants.
- Understands and knowledgeable of Therabill (EMR), Excel and Canva
- Manage office supplies inventory and place orders when necessary
- Coordinate with therapists and healthcare providers to ensure efficient patient care delivery and scheduling.
- Oversee insurance verification, billing, and payment processing to ensure accuracy and compliance with regulatory requirements.
- Develop and implement office policies and procedures to streamline operations and improve patient experience.
- Monitor inventory levels and order office supplies as needed.
- Assist in the preparation of regularly scheduled reports
- Handle patient inquiries, complaints, and concerns in a professional and compassionate manner.
- Maintain organized filing systems, both electronic and physical
- Collaborate with management team to develop and implement marketing strategies to attract new patients and retain existing ones.
- Support budgeting and bookkeeping procedures
- Assist in training development for new office staff
- Stay informed about changes in healthcare regulations and insurance policies affecting pediatric therapy services.
- Communicate effectively with team members and external parties
Requirements: Proven experience as an Office Coordinator or in a similar role - Proficiency in QuickBooks and other office software (e.g., MS Office) - Strong clerical and administrative skills - Excellent communication abilities, both written and verbal - Knowledge of office management procedures and basic accounting principles - Experience in medical office management is a plus - Ability to multitask and prioritize tasks effectively This position offers the opportunity to work in a dynamic office environment with room for growth.
