Anatomic Pathology Operations Manager
Basic Function: Plan, organize and direct the administrative and technical functions of the Gross Room, Histology, Cytology and Flow Cytometry, including personnel, delivery of services, quality assurance programs, accreditation and regulatory issues. Coordinate and assure effective delivery of Anatomic Pathology services for all shifts with the consultation of the Administrative and Medical Directors.
RESPONSIBILITIES
- Manages and monitors day-to-day Laboratory operations including but not limited to overseeing specimen receipt and handling, work-flow, data reporting, quality control, and compliance with regulatory requirements. Ensure that laboratory operations meet or exceed all applicable regulatory and accreditation requirements.
- Manages technical and non-technical staff in accordance with organization’s policies and applicable regulations. Responsibilities include planning, assigning, and directing work; appraising performance and guiding professional development; rewarding and disciplining employees; addressing employee relations issues and resolving problems. Approve actions on human resources matters. Ensures performance appraisals are completed in a timely manner.
- Foster a unified culture and facilitate collaboration, cooperation, sharing of information and teamwork. Lead initiatives to improve employee engagement to positively impact operational results, customer satisfaction and employee retention.
- Establish training programs to ensure that qualified staff are hired and continuously trained in order to remain current on testing procedures.
- Oversees all testing procedures and protocols, evaluates, develops and implements laboratory procedures, investigates technical problems and takes corrective action, seeks and implements solutions to issues relating to processing and data performance.
- Manages Performance Improvement activities including, but not limited to evaluating, developing, documenting, communicating and enforcing procedures; leading and/or actively participating in rapid cycle quality improvement projects.
- Ensure that laboratory staffs are trained on and comply with safety procedures. Establish and implement procedures to ensure that the physical laboratory environment meet safety requirements.
- Participates in all quality control and quality assurance activities. Ensures calibration and maintenance of equipment to assure proper functioning. Periodically reviews quality assurance and quality control documentation to ensure proper policies and procedures have been followed, identify patterns and trends that may be contributing to deviations, initiating and documenting corrective action as indicated. Communicates and enforces quality and regulatory standards and requirements to staff.
- Monitor outside proficiency testing program as required; take corrective action promptly when results are unsatisfactory. Manages responses to deficiencies noted by regulatory agencies.
- Serves as liaison for vendors of laboratory equipment and supplies. Evaluates, tests, recommends, implements and initiates purchase of approved equipment and supplies.
- Keep abreast of new technical developments. Recommend new tests, equipment, programs and/or procedures in the department and implement when directed to do so. Lead continuous improvement initiatives to increase quality of services and operational efficiency
- Establish standards and recommend process improvements for cost control and waste reduction. Monitor utilization patterns of services and advise on developing trends in clinical service needs.

- REQUIRED KNOWLEDGE, SKILLS AND ABILITIES
- Must be willing to work various hours and locations based on business needs. Many department laboratories operate 24/7 with schedules on day, evening, or night shift. Rotating schedules which may include weekend work and holiday assignment. To insure staffing and patient care needs are met, supervisor may be required to report or remain at work.
- Adheres to College of American Pathology standards of accreditation.
- In depth knowledge of clinical testing procedures and applicable laboratory testing regulations
- Working knowledge of quality assurance and quality control principles and in depth knowledge of company-specific program requirements. Formal training and/or certification in process improvement methodologies (e.g. Lean/Six Sigma) desired.

- Personal computer knowledge of word processing, spreadsheet, and presentation software is required. Data analysis skills to include spreadsheet modelling, pivot table analysis, querying SQL databases desired.
- Staff may be required to complete annual competency review, and must insure compliance.

- Bachelor's Degree required.
- Master's Degree, preferred.
- Certification in anatomic pathology or laboratory related field (histotechnology, cytopathology, pathologists’ assistant, ASCP registry.)
- Applicable certifications and licenses as required by country, state, and/or other regulatory bodies
- Work requires a minimum of 8 years of progressive laboratory experience in CLIA high complexity laboratory, at least 3 of which must be supervisory or management, to acquire a foundation of knowledge and familiarity with the scope of laboratory operations.
- Clinical laboratory environment - May be exposed to potential physical harm from hazardous chemicals, infectious diseases, blood-borne pathogens, toxic materials, toxic gases, electrical hazards, dangerous tools and equipment. Exposure to toxins and infectious agents exist, but potential for personal injury or harm is minimized if established safety and health precautions are followed.
- Working in laboratory where there may be discomforts due to odors, noise, temperature fluctuations, and working around lab equipment.
- While performing the duties of this job, the employee is regularly required to sit, talk, see and hear. May sit or stand for prolonged periods. The employee is frequently required to use hands to finger, touch, feel, and type. May reach with hands and arms; stoop, kneel, or crouch. Prolonged vision requirements including viewing computer screen, paper reports/documents charts and results. Visual acuity is required to distinguish fine gradation of color, bands or structure and closely examine specimens microscopically.
- Extensive use of telephone and face-to-face communication requiring accurate perception of speech
- Extensive use of keyboard requiring repetitive motion of fingers
- Must possess manual dexterity sufficient to work with small instruments and delicate equipment.
- Individuals may be required to participate in control procedures including but not limited to annual TB screening, influenza or other vaccinations, respiratory mask fit testing, etc.
- May transport equipment and supplies usually less than 40 pounds from one area to another. May be required to lift and/or move up to 50 pounds with proper training, or precautions/liftings.
- In some areas work space is confined; therefore mobility may be difficult.
