For 30 years now, Living Advantage, Inc., a 501(c)3, has been dedicated to helping at-risk youth. From the beginning, the mission was to provide housing, therapeutic treatment, educational support, and independent living skills to wards of the court in Los Angeles and Orange Counties. After 11 successful years, LA, Inc. aimed for a larger social problem to address—foster youth.
The Accounting Clerk will be responsible for handling accounts receivables, payables, reconciliation, and invoicing plays a critical role in ensuring the financial health and smooth operation of our 30-year-old nonprofit.
Responsibilities:
Accounts Receivable (AR):
- Generating invoices for goods sold or services rendered.
- Recording receivable transactions accurately in the accounting system.
- Following up on overdue payments and communicating with customers regarding outstanding balances.
- Reconciling customer accounts and resolving any discrepancies.
Accounts Payable:
- Receiving and processing invoices from vendors and suppliers.
- Verifying the accuracy of invoices and ensuring appropriate approval for payment.
- Recording payable transactions in the accounting system.
- Managing the payment process, including issuing checks or initiating electronic payments.
- Reconciling vendor statements with accounts payable records.
Reconciliation:
- Performing regular reconciliations of accounts receivable and accounts payable ledgers to ensure accuracy.
- Matching transactions between bank statements and accounting records to identify discrepancies.
- Investigating and resolving any discrepancies in a timely manner.
Invoicing:
- Assembling and preparing invoices accurately and promptly.
- Ensuring invoices contain all necessary information, such as item descriptions, quantities, prices, and payment terms.
- Distributing invoices to customers via mail, email, or electronic invoicing platforms.
- Maintaining organized records of invoices issued and payments received.
In addition to these primary responsibilities, the Accounting Clerk may also assist with other tasks such as data entry, filing financial documents, preparing financial reports, and providing support during audits. Strong attention to detail, proficiency in accounting software, and excellent communication skills are essential for success in this role.
Qualifications:
- Should be comfortable using bookkeeping software and computer spreadsheets.
- Need to be very detail-oriented to avoid errors and recognize errors that have been made.
- Competency in MS Office, databases and accounting software
- Hands-on experience with spreadsheets and financial reports
- Data entry and word processing skills
Experience:
- High School Diploma acceptable with relevant work experience
- Associate’s degree or relevant certification is a plus
- At least 1 year experience in field
- At least 1 year experience using Quickbooks
