Job Title: Front Desk Coordinator
Location: Deer Park
Reports To: Branch Manager
Job Summary:
The Front Desk Coordinator in the staffing industry provides essential administrative support to ensure the efficient operation of the office. This role involves managing office tasks, assisting with recruitment processes, maintaining employee records, and supporting both clients and candidates throughout the hiring process.
Key Responsibilities:
Office Administration:
- Manage office supplies inventory, order supplies as needed, and ensure the office is well-organized.
- Maintain office filing systems, both electronic and physical, ensuring all documents are properly archived.
- Handle incoming and outgoing correspondence, including mail, and emails.
- Handle incoming and outgoing high-volume phone calls; calls vary from 150-200 calls per day.
- Screen resumes and applications, and schedule interviews for recruiters.
- Coordinate and facilitate candidate interviews, including arranging interview logistics and providing necessary information to candidates.
- Maintain and update employee records, ensuring all information is accurate and up to date.
- Assist with the onboarding process for new hires, including preparation of onboarding materials.
- Assist with background checks.
- Handle confidential information with utmost discretion and professionalism.
- Serve as the first point of contact for clients and candidates, addressing inquiries and providing information as needed.
- Provide exceptional customer service to clients and candidates, ensuring a positive experience throughout the hiring process.
- Perform general clerical duties, including photocopying, faxing, and mailing.
Required Qualifications:
Education: High school diploma or equivalent, REQUIRED
Experience: A minimum of 4 years of administrative support experience REQUIRED
Skills:
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong organizational and time management skills.
- Excellent written and verbal communication skills.
- Ability to multitask and prioritize effectively.
- High level of attention to detail and accuracy.
- Ability to work independently and as part of a team.
- Familiarity with Applicant Tracking Systems (ATS) is a plus.
Working Conditions:
- This is a full-time position based in an office environment.
- Occasional overtime may be required to meet deadlines.
The Benefits:
