We are seeking a highly organized and proactive Front Desk Receptionist to join our team and support our daily office operations, ensuring efficiency and productivity.
Key Responsibilities include but may not be limited to:
- Perform general clerical duties, including photocopying, faxing, mailing, and filing.
- Manage incoming and outgoing correspondence, including emails, calls, and letters.
- Schedule and coordinate meetings, appointments, and travel arrangements for team members.
- Maintain office supplies inventory and place orders as needed.
- Prepare and edit documents, reports, and presentations.
- Maintain accurate and organized records and databases.
- Assist in the creation and updating of spreadsheets, databases, and other digital files.
- Serve as a point of contact for internal and external communications.
- Handle inquiries and requests promptly and professionally.
- Ensure the office is clean, organized, and well-maintained.
- Coordinate office events, meetings, travel and other activities.
- Assist in the onboarding of new employees.
- Provide support on special projects as needed.
- Conduct research and compile data for reports and presentations.
- Assist in the implementation of office policies and procedures.
Requirements:
- High school diploma or equivalent; Associate’s degree or higher preferred.
- Proven experience as an administrative assistant or in a related role.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent written and verbal communication skills.
- Strong organizational and time-management skills.
- Ability to multitask and prioritize tasks effectively.
- Attention to detail and problem-solving skills.
- Ability to work independently and as part of a team.
- Experience with office management software (e.g., MS Office, Google Workspace).
- Familiarity with basic accounting and bookkeeping principles.
- Knowledge of project management tools and software.
- Customer service experience.
