Summary
Manage the office workflow aspects of incoming calls and in-person visitors, while providing administrative support to the practice by performing the following duties.
Essential Duties and Responsibilities include the following. Other duties may be assigned.
- Act as a hospitality ambassador by answering all incoming calls, triaging calls where applicable, and welcoming/announcing all visitors to the appropriate staff member.
- Oversee all client scheduling, logistics, arranging virtual conference calls if applicable, and reporting.
- Maintain a “WOW” mindset in all relationships – creating a truly personalized service and referable experience for all clients.
- Receives, sorts and distributes mail. Create all UPS labels for outgoing packages.
- Orders, receives, and maintains office supplies, stationery, and client appreciation gifts.
- Order and send client birthday cards and gifts. Track and handle any other client special events such retirements, funerals, etc.
- Coordinates staff calendars.
- Transcribes letter dictations and sends letters to clients via mail and e-mail.
- Assist in manages the lead advisor’s email.
- Maintain and stock the reception area.
- Compile business reports regularly.
- Act as the advisor liaison for special projects
- Travel coordination back-up.
Education and/or Experience
- High School Diploma required.
- 2+ years of receptionist or administrative experience, preferably in an office setting
- Positive attitude and sincere willingness to continually learn and grow
- Effective verbal and written communication skills to regularly interface with clients, advisors and staff
- Efficient time management, organization, and attention to detail skills
- Ability to multi-task and work in a fast-paced environment
- Strong collaboration skills; be flexible and willing to assist others on the team when needed
- Ability to support and provide guidance for compliance
- Ability to adhere to rules and regulations as stated and required by advisor and Ameriprise Financial
- Willingness to occasionally work outside of ‘normal business hours’ due to client events held through the year
Job Type: Full-time
Pay: $18.00 - $22.00 per hour
