Job Title: FOIA Specialist
Duties and Responsibilities:
- Analyze, task, track and log actions related to correspondence and communications directed to or emanating from all NEA and SCA offices, including NEA-SCA/EX.
Job Requirements:
- Experience with FOIA and Records Management systems and processing.
- Experience creating and maintaining electronic records.
- Excellent oral and written communication skills
- Ability to multi-task and perform at high standards under pressure.
- Bachelors’ Degree preferred.
- Knowledge of Records Management requirements, including familiarity with NARA
- Extensive knowledge of the Department of State
- Proficient in Microsoft Office Suite to include Outlook, Word, PowerPoint, and Excel
- Develop tools designed to promote effective coordination of the programs.
- Analyze, evaluate, and resolve problems and issues involving the development of records management systems, conversion from paper to electronic files, automated retrieval processes and utilization of archiving and storage systems.
- Assist with the analysis and evaluation of the records of the NEA-SCA/Executive Office, and both bureaus’ Front Offices to help determine the records’ continuing informational value and to recommend records for permanent retention or destruction, as appropriate.
- Assist with developing and maintaining Records Management guidelines and reference materials to help educate individual NEA and SCA offices on their responsibilities.
- Maintain records according to laws, regulations and policies governing Records Management.
- Coordinate with the Bureau of Administration Government Information Systems Office of Information Programs and Services (A/GIS/IPS) to obtain updated guidance and information.
- Prepare periodic reports for Task Manager, Division Director and A/GIS/IPS, as required.
- Review incoming FOIA requests and identify documents requiring redaction based on FOIA exemptions and agency policies.
- Perform redaction of sensitive information from documents in accordance with FOIA guidelines and agency standards.
- Provide accurate and timely responses to FOIA requests while maintaining compliance with legal requirements.
- Develop a timeline for completing redaction and litigation support tasks and establish performance metrics for evaluating the efficiency of processes.
