Overview:
The primary responsibility of the Program Assistant is the general operations of the program’s administrative office. The ideal candidate will have a high level of organizational and analytical skills, be able to prioritize projects, have strong writing and editing skills, excellent communication skills, and be a positive team player.
ABOUT THE PROGRAM
Seneca offers "Wraparound" services to children and youth at risk of placement in a high-level residential treatment or juvenile hall, and to their families. The Wraparound program is strengths-based, family-driven, flexible, and creative, with the goal of helping the family develop the skills and supports to prevent or reduce the possibility of out-of-home placement of their child. A family-based team addresses the needs of the entire family, not just the at-risk child. This consists of family members, Seneca's Clinicians, Facilitators, Youth Counselors, Parent Partners and other community members who have an important role in the family.

Responsibilities:
- Answer department phones. Screen and direct telephone calls.

Greet and interact with clients, families and other visitors.

Maintain the safety, organization and professional appearance of the front office and general areas.

Maintain office equipment and coordinate various office services.

Order and organize program supplies, which at times will require travel to purchase and pick up items.

Ensure smooth logistics for on-site meetings/trainings and visitors including conference room reservations, meal planning and logistics, both in preparation and execution.

Maintain well-organized and accessible electronic and paper forms and files.

Process all mail, correspondence and information to and from the program’s office, including correspondence to and from the Program Director/Manager of Operations.

Manage program petty cash reimbursement and Program Director credit card expense report.

Complete required program reports and scheduling.

Generate reports and synthesize data pertaining to program performance, demographics, and measurable outcomes.
Qualifications:
REQUIREMENTS

Education/experience requirements:
-
Bachelor's degree OR
-
Associate degree or equivalent + 1 year of applicable work experience OR
-
High school diploma/GED + 2 years of applicable work experience.

Applicable work experience includes any paid or unpaid experience in an administrative capacity requiring customer service, data entry, ability to prioritize multiple projects within strict deadlines, and coordination with multiple departments.

Capacity to engage and develop rapport with youth, families, and community partners from a wide variety of racial, ethnic, and socioeconomic backgrounds.

At least 21 years of age.

TB test clearance, fingerprinting clearance, and any other state/federal licensing or certification requirements.

Valid driver's license, clean driving record, and insurability through Seneca Family of Agencies’ insurance policy.

Proof of up-to-date COVID-19 vaccination.

Previous experience in comparable position is preferred.

Bilingual in English/Spanish a plus!

Schedule:
- Full - Time.

Monday - Friday.
Benefits:
- Starting at $25.75 - $28.25 per hour.

As of July 7th, this starting range will increase to $26.52 - $29.02.

Actual salary is dependent on creditable experience above the minimum qualifications for the role.
