Overview
Reporting to the Senior Producer of Photo + Video, the Creative Production Manager will be responsible for pre-production, production, and postproduction support to the Creative team. In addition to helping plan production timelines, this individual will be responsible for the creative admin, asset management, and managing the in-house Studio calendar and programs. The scope of work includes helping source talent for photo and video production and partner with cross-functional teams on strategy and initiatives. This role is based in Los Angeles - requiring in person studio/team time (including on set for all shoots) - with some scope that can be done remotely, in a hybrid manner. Comprehensive package including bonus and equity.
What You’ll Do
5 key areas of responsibility:
Daily oversight of pre, production, and post-production timelines, including Milestone Calendar maintenance through to final delivery to all teams/retail partners and budgets
Initiate and oversee implementation of production process efficiencies with optimization in mind and follows through in implementation including troubleshooting
Relay asset deadlines from brief-in date to generate a complete production plan that accommodates the approval process in tandem with Creative Program Manager
Coordinate timelines and source products from Product Development and/or Operations in tandem with Creative Program Manager for photos and video shoots (camera ready)
Creative asset organization and structure in Dropbox
Track, document, and maintain video and photo / video usage rights for all content including renewals and comms to cross functional teams to prevent outdated usage
Manages external production vendor vetting, outreach, rate negotiation, onboarding, and contact roster
Leads model casting and booking, including outreach to agencies to source potential talent, negotiating model usage rights and rates based on production budget
Maintain a tracking document of prospective models from casting that will be used to obtain approvals from internal and external teams, including founder teams.
Responsible for fulfillment of all production-related finances and documentation (i.e. model releases, contractor agreements, vendor onboarding paperwork, NDA, ADP Payroll, COIs, etc.) Including budget planning, tracking and management on a yearly, quarterly and project-basis. Facilitation of invoices, ADP Payroll tracking, and processing in partnership with the Finance team and tracking against budget.
Manage processes and assets through tools such as Dropbox, Figma, Google Suite etc.
Coverage and support for Creative Program Manager as available or needed
Co-Management of content studio operations in tandem with the Senior Producer
Build out processes, roles & responsibilities, best practices for content Studio Ops
Lead and maintain booking schedule of the Studio Calendar
Maintaining and documenting studio inventory of product for photo and video shoots
What We Are Looking For
Minimum of 3 years of experience in Beauty production required
While not required, prior experience working with / on Sephora programs is a major plus
Asset Management experience required
Artistry / talent experience required - must come with a great reputation and references from makeup artists, photographers, editors, models and/or agents
Thorough knowledge of creative process & workflows - on set and for creative team
Demonstrated organizational and project management skills, with high attention to detail
Proactive, self-starter with strong initiative and follow-through
Possesses strong communication skills, diplomacy & ability to bring clarity to ambiguous or complex situations,
Organized & creative thinker - flexible, adaptable and solutions oriented in a fast-paced environment - never losing cool under pressure
Ability to manage across multiple teams, projects, and priorities efficiently and effectively
Comfort working under pressure in a fluid environment where new projects pop up daily
Understanding of retail/ecommerce, beauty and industry trends
Proven ability to multi-task and manage complexity in a fast-paced environment
Ability to interact effectively and professionally with cross-functional departments
Proficient in Project Management software Wrike, G-Suite, Microsoft Excel, Word PowerPoint
