Nature of Work:
Under light supervision, performs administrative office support duties, in assisting the Chief of Police and other department personnel, in planning and coordinating the administrative aspects of the Department’s operations. Work assignments often require judgment in handling confidential issues and work situations. Considerable public contact is required. Upon request, may organize projects and produce special reports. The Chief makes an occasional review of work methods and results.
Responsibilities and Primary Duties/Functions:

Perform administrative duties as delegated by the Chief of Police or designee. Assists other department personnel as requested.

Compile and complete data for annual reports, annual budgets, meeting minutes, personnel demographic changes and other documents.

Assists with hiring processes in coordination with the Professional Standards Sergeant, to include interview schedules and on-boarding.

Plan and organize specific programs and projects as assigned, and work projects through to completion.

Responsible for establishing, processing, and maintaining confidential personnel files.

Draft correspondence, create templates, and develop forms, surveys, spreadsheets, and various other documents as requested.

Responsible for coding all incoming invoices (i.e. off-duty, SRO, expenses, etc.) and maintaining a record of the Department’s expense side of the budget.

Maintain clothing allowance balance sheets for all Department employees.

Maintain department petty cash and receipts.

Examine outgoing documents for completeness, grammar, etc.
Minimum Qualifications:

High School education

A minimum of five years’ previous experience in an executive administrative assistant position is required.

A college degree in a business-related field from an accredited four-year college is preferred.

Degree OR equivalent combination of education and direct experience is preferred
