Job Title: Office Manager

Job Summary: The Office Manager plays a critical role in ensuring the smooth operation of our administrative functions, actively contributing to human resources and financial management. This key position is responsible for maintaining operational efficiency across all office locations, directly supporting our organizational mission by cultivating a workplace where employee-owners can thrive and excel.
The ideal candidate will bring a robust background in office management and human resources, possessing the ability to manage diverse tasks and lead initiatives that enhance productivity and workplace culture. While some experience in the construction, architecture, or related fields is advantageous, it is not a prerequisite. This role demands a proactive leader, adept in navigating complex environments and driving improvements that align with our firm’s values and objectives.
Direct Reports: Accounting Assistant (1 person)
Salary Range: $65,000 - $80,000 (commensurate with experience)

Key Responsibilities:
1. Office Operations and Administration:
· Daily Operations Management: Oversee daily operations to ensure seamless execution of all office activities.
· Administrative Staff Oversight: Supervise the administrative staff, promoting adherence to our ESOP principles of inclusivity and transparency.
· Communication and Coordination: Facilitate effective communication and organize office meetings to ensure alignment with our core values and the objectives of our cultural and not-for-profit projects.
· Lease Management: Manage and administer lease agreements and renewals across all office locations, ensuring compliance and favorable terms.
· Insurance Coordination: Assist the management team with the renewal of insurance policies, verifying that all business lines are adequately covered and align with our operational needs.
2. Human Resources Management:
· Human Resources Leadership: Spearhead HR functions such as recruitment, training, and performance management. Focus on attracting and retaining top talent that aligns with our ESOP culture and meets the unique demands of managing cultural and not-for-profit projects.
· Benefits Administration and Compliance: Manage employee benefits and ensure HR practices comply with ESOP standards and all applicable legal regulations.
3. Financial Oversight:
· Budget Management and Procurement: Direct the management of the office budget and procurement processes, ensuring decisions are aligned with the collective interests of employee-owners and enhance the firm's financial stability.
· Financial Documentation and Reporting: Supervise the preparation and accuracy of financial documentation and reports, emphasizing transparency as a cornerstone of our Employee Stock Ownership Plan (ESOP) structure.
· Accounting Team Leadership: Oversee the activities of the Accounting Assistant, ensuring timely and efficient execution of their responsibilities to support the office's financial operations.
4. Project Support and Client Interaction:
· Project Management Assistance: Provide support in project management and coordination, establishing robust support mechanisms to ensure the successful execution of projects, particularly those involving cultural institutions and not- for-profits.
· Client Relationship Management: Aid project leads in nurturing and maintaining client relationships, ensuring a commitment to service excellence for sustained client satisfaction and project success.
5. Compliance and Quality Control:
· Regulatory Compliance and Integrity: Ensure all operations adhere to legal standards and internal policies, maintaining the high integrity standards expected within our ESOP framework.
· Quality Control Implementation: Develop and manage quality control processes, focusing on enhancing the effectiveness of administrative and project support functions to uphold excellence in service delivery.
Qualifications:
· Education: Bachelor’s degree in Business Administration, Management, Human Resources, or a related field preferred; Note that equivalent experience in lieu of a degree will be considered.
· Experience: At least 5 years of experience in office management, preferably in construction, design, or related fields.
· Proven experience in human resources and financial management.
· Strong leadership, organizational, and multitasking skills.
· Excellent communication and interpersonal skills, capable of managing diverse teams and interacting with clients.
· Proficient with MS Office and experience with financial and HR software.
