I. TITLE: Accounting Assistant
II. DEPARTMENT: Accounting
III. REPORTS TO: Controller
IV. JOB DESCRIPTION:
Inputs, processes and records the payment of PHL Operation vendor invoices, Company payroll and Other Accounting tasks.
V. EDUCATION REQUIRED:
BA/BS in Accounting or Finance; At least two years’ Payroll and Accounts Payable/General Accounting experience. Experience in commercial real estate preferred.
VI. SPECIAL SKILLS:
Excel or equivalent proficiency in any PC based spreadsheet program. Proficiency with Property Management Software.
VII. RESPONSIBILITIES INCLUDE:
· Handle posting of vendor invoices along with matching to P.O.’s and obtaining approvals thru Nexus
· Coordinates payment of all vendor invoices for PHL Operations.
· Review of vendor invoices prior to posting; follow-up with appropriate Manager if necessary.
· Reconcile A/P detail to general ledger on monthly basis.
· Maintain A/P files.
· Coordinates payroll processing to ensure timely and accurate processing of staff payroll, including:
· Create and maintain all employee personnel files
· Enter and maintain employee information in ADP Payroll Software
· Review Operations employees time as recorded thru card swipes in ADP Workforce Now
· Tracks and records all employees benefit time-off requests
· Handles receipt of monthly tenant payments of City of Philadelphia Use & Occupancy tax.
· Prepares monthly City of Philadelphia U&O tax return.
· Collection of Monthly tenant sales reports and input into MRI property management software and Excel Database. Collection of Weekly sales reports if necessary.
· Collection of the Quarterly and Annual tenant sales reports that are due.
· Assists Controller and Management with special projects, financial analysis and other accounting and administrative duties as required.

Job Type: Full-time
Pay: $50,000.00 - $55,000.00 per year
