Aviation Coordinator
Job Duties:
1. Schedule and coordinate the use of aircraft and crews to support the travel the principals.
2. Assist the requester with trip planning to make efficient use of time and resources
3. Flight-follow aircraft and coordinate changes in the itinerary or passenger manifest with the crew and others, as required
4. Record completed flight activity using the Company’s databases
5. Provide on-call scheduling support when assigned to stand-by duty during non-business hours, weekends, and holidays
6. Answers the scheduling phone line and responds to requests for use of the Company’s aircraft
7. Records and updates all available information regarding a trip request in the scheduling system
8. Coordinates with crew members regarding crew schedules for the intended trips.
9. If the request conflicts with another request, work with the Director of Aviation to determine which trip can be supported
10. When a trip is confirmed, work with the requester and/or passengers to finalize the itinerary, passenger list, catering, and other service requests
11. Ensures that passengers have current passports, visas, and other personal documents required for international travel
12. Arrange ground transportation, catering, and/or airline reservations as needed
13. Posts the aircraft and crew schedule and updates it as soon as changes become known
14. Conducts flight following of aircraft and informs others of the aircraft position and status
15. Coordinates en route changes in the itinerary and passenger manifest. Determines how changes may affect other scheduled events and notify the appropriate people
16. Formulates contingency plans for mechanical and weather delays
17. Records completed trip information in the computer scheduling system and generates reports for distribution and required files
18. Assists in preparing reports of usage (upcoming and historical)
19. Using systems, review, and code appropriate costs related to trips for internal cost allocation
20. Provides ongoing liaison with executive assistants regarding flight activity
21. Responsible for maintaining and updating the Aircraft Emergency Response Plan
22. Communicate with Asia clients to develop charter business and mainly support Asia clients, delivering their requests to aviation companies.
Requirement
- Experience in flight scheduling and coordinating with flight crews.
- Strong organizational skills with the ability to manage multiple tasks and prioritize effectively.
- Excellent communication skills, both written and verbal.
- Proficiency in using flight scheduling software and databases.
- Strong attention to detail and accuracy.
- Ability to work under pressure and handle emergency situations calmly and efficiently.
- Familiarity with international travel requirements, including passports, visas, and customs regulations.
- Proficiency in using standard office software (e.g., Microsoft Office Suite).
- Ability to work flexible hours, including nights, weekends, and holidays, as required.
- license of FAA pilot license, Aircraft Dispatcher, or other aviation operations certification required
- Master’s degree in aviation management, Aerospace, Aeronautics, Airport Management, or related field, with no working experience or,
- Bachelor’s degree in aviation management, Aerospace, Aeronautics, Airport Management, or related field, with at least one year of working experience in a Charter or private jet aviation company.
