Mountain Pine Dermatology is looking for a qualified Front Office Manager to support existing Management and lead the front office team at our main clinic and satellite clinic locations. You will provide guidance, support, and direction to all front office employees. You will be responsible for assisting with day-to-day front office operations, creating employee schedules and timecard verifications or adjustments, training, problem-solving, coordinating vendor schedules, ensuring the front office operates efficiently and effectively, coordinate patient reminders and broadcast database, manage practice phone system, conduct monthly staff meetings, and serve as a role model of customer service. As the Front Office Manager, you should demonstrate excellent organizational skills and the ability to perform well in stressful situations. Our position requires knowledge of medical front office systems and operations. Ultimately, you should be able to ensure steady workflows and uninterrupted 5-star customer service in our medical facility. This position serves as the primary point of contact for the front office.
- Conduct performance reviews.
- Be the primary point of contact for front office.
- Training and advisory authority for front office and referral coordinator
- Help ensure duties of front office team members are completed efficiently.
- Create employee schedules and approve time off requests.
- Assist in developing and implementing front office policies and procedures.
- Collaborate with management and other employees to identify potential office dysfunctions and recommend solutions.
- Creating and executing presentations and trainings for team meetings.
- Hiring and onboarding process for front office staff.
- Coordinate vendor schedules and appointments.
- Assist with planning and executing front office team building activities and events.
- Create, build, open and adjust provider templates.
- Act as primary for practice patient reminder and broadcast database system.
- Primary phone tree adjustments and assignments.
- Handle front office related patient concerns.
- De-escalating patients.
- Ensure compliance with current healthcare regulations, medical laws, and high ethical standards.
- Maintain adequate supplies and ensure front office equipment is in good operating condition.
- Any other tasks as assigned.
Skills
- Proven work experience in a medical front office.
- Set and maintain an exemplary role as manager by adhering to M.P.D. employee code of ethics and handbook guidelines.
- Knowledge of administrative processes and principles.
- Knowledge of and ability to deliver 5-star customer service.
- Ability to handle medical records and other sensitive information discreetly.
- Ability to keep sensitive employee information safeguarded.
- Knowledge of healthcare patient registration processes.

Requirements
- High school diploma or equivalent required.
- Minimum 2 years of experience in supervisory, lead, or management in healthcare.
