SUMMARY: The purpose of this position is to provide all clerical needs for the daily operation of the shelter. Under general supervision, perform specialized clerical work for the Children’s Shelter Department.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
· Answers phone and doors for guests and out-side agencies.
· Answers routine questions and furnishes information as needed.
· Copies and files all documentation for each child in master files staying in compliance per state standards.
· Maintains appointment and visiting schedules for clients and posts schedule for staff.
· Maintains open communication with outside agencies and organizations for appointments, event planning, and donations.
· Collects and distributes mail, maintains calendar, maintains bulletin boards.
· Monitors due dates and maintains staff training files.
· Organizes, and maintains files and records.
· Prepares forms, memos, letters, and documents of a confidential nature.
· Performs all other related duties as assigned.

Education and Experience:
· Requires a high school diploma (or GED certificate); and three (3) years of related experience, or an equivalent combination of education and experience.
Knowledge, Skills and Abilities:
· Knowledge of business machines.
· Knowledge of business practices and English grammar.
· Skills in working with Microsoft Office applications such as Outlook, Word and Excel.
· Ability to communicate clearly both orally and in writing and to maintain confidentiality.
· Ability to file alphabetically and numerically.
· Ability to work with co-workers, employees and management in a pleasant, professional manner.
· Ability to work under pressure in a high-volume office, produce accurate work and meet established deadlines.
· Must be mature, dependable, resourceful and able to work independently.
CERTIFICATES, LICENSES, REGISTRATIONS:
· Possession of or ability to readily obtain a valid driver's license issued by the State of Texas.
PHYSICAL DEMANDS:
The work is light work which requires exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of force to move objects. Position involves sitting at a desk or other workstation, typing, filing, making copies, standing and communicating to other county personnel, elected officials, external agencies and the general public.
WORK ENVIRONMENT:
Work is primarily indoors in an air-conditioned, smoke-free office. Continuous work at a computer keyboard. Work outside of the normal office (Monday-Friday 9 am to 2 pm, must be flexible) may be required to meet deadlines and accuracy requirements.
