Our office is dedicated to providing quality care to our patients and we are seeking an experienced procedure scheduler to join our rapidly growing practice. The ideal candidate has at least 1-2 years of procedure scheduling experience for any specialty. Primary duties include completing prior authorizations for all procedures ordered by our physicians, responding to patient inquiries, informing patients of any instructions prior to and after surgeries, and assuring appropriate coordination within the practice and with hospitals in a timely and organized manner.
The position would require scheduling the following procedures: left heart catheterization, right heart catheterization, transesophageal echocardiogram, implantable loop recorders, CardioMEMS implants, Watchman Device Implants, TAVRs, PFO/ASD closures, and Mitral Clip procedures.
Duties and Responsibilities
Tasks, duties and responsibilities of the cardiology procedure scheduler are outlined below. This is not an exhaustive list of responsibilities, however, aims to provide a general overview of role expectations:
- Respond to calls, emails, complaints, and queries that patients might have.
- Acquire prior authorizations from patient insurance carriers.
- Provide information and updates regarding patients’ procedure schedules.
- Set post-procedure appointments with doctors and perform all necessary tests.
- Inform patients and any relevant third party through instructions about “things to do” before and after surgeries.
- Reserve spots for procedures and schedule a date based on the availability of the procedural physician and the medical condition of patients.
- Order patients’ test results and assess information from the report to determine if a patient is ready for a procedure.
- Assure appropriate coordination with other hospital departments when special procedural needs occur.
- File, collect, and organize pre- and post-operational data for reference.
- Document patient interaction within the patient’s chart
- Provide cross-coverage for electrophysiology scheduler.
- Coordinate procedural coverage and support with industry representatives for various procedures.
Qualifications for the Ideal Candidate:
- 1-2 years of procedure scheduling experience for any specialty
- Strong communication and customer service skills
- Ability to learn quickly and work under pressure in a fast-paced environment.
- Attention to details.
- Excellent organizational and time management skills.
- Good working ethics and ability to treat documents with confidentiality.
- Ability to work effectively as part of a team and take initiatives when the need arises.
- Bilingual English & Spanish is a must
