Position Overview: The Receptionist and Information Clerk at Wesleyan Academy serves as the primary point of contact for the school community, delivering exceptional customer service and providing essential administrative support. This role is pivotal in ensuring efficient operations by managing inquiries, directing visitors, and assisting with various administrative tasks.
Key Responsibilities:
- Greeting and Directing: Welcoming visitors and ensuring adherence to school sign-in/out procedures. Directing visitors to appropriate classrooms, offices, or personnel.
- Answering Inquiries: Responding to inquiries from parents, students, and staff regarding school activities, schedules, and policies. Providing accurate information or directing inquiries to the appropriate staff member.
- Phone and Email Communication: Managing incoming calls and emails in a professional and efficient manner. Taking messages, scheduling appointments, and relaying information as necessary.
- Administrative Support: Assisting with administrative duties such as filing, data entry, photocopying, and record maintenance. Supporting staff with clerical tasks to maintain smooth daily operations.
- Scheduling: Coordinating appointments and meetings for school staff and maintaining calendars. Notifying parties of any changes or updates.
- Resource Management: Monitoring office supplies inventory and placing orders as needed. Ensuring the reception area and office spaces are clean and presentable.
Skills and Qualifications:
- High school diploma or equivalent; additional qualifications in Office Administration are advantageous.
- Previous experience as a receptionist or in a similar role preferred.
- Excellent verbal and written communication skills in English (proficiency in additional languages is a plus).
- Strong organizational skills and ability to manage multiple tasks with attention to detail.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Customer service-oriented with a professional and welcoming demeanor.
Working Conditions:
- Full-time position, typically Monday to Friday with occasional weekend or evening work during special events.
- Comfortable working in a fast-paced environment with frequent interruptions.
