Purpose of Job:
Accountable for accurate documentation, loading, discharge and dispatch of the vessels and in compliance with regulatory requirements to minimize risk.
Main Duties and Responsibilities:
1. Receive, greet and direct customers and visitors, and generate shipment bookings and/or bill of landing as needed.
2. Plan, load and discharge vessel on the Operating System for the company vessels.
3. Reconciliation of all company vessel manifest with port stow plan to ensure integrity of data.
4. Provide Cargo manifest and/or bill of lading to all respective Regulatory Agencies (as requested).
5. Resolve manifest discrepancies with business partners to ensure discrepancies are minimized in order to reduce the risk of fines/penalties.
6. Proper dispatch of cargo ensuring compliance with regulatory requirements.
7. Ensure accurate rates of Southbound and Northbound Auto Bills of Lading for proper transaction.
8. Collect /process credit card payments.
9. Communicate with government agencies for delivery authorization, inspections and hold/releases.
10. Assist in handling truckers’ insurance policies and updates.
11. Assist in handling customer’s claims for containers & auto/nic.
12. Prepare In-Bond documents for foreign cargo and ensure clearance from Customs before the release of cargo.
13. Reconcile all ports cargo In-Bond entries to ensure all documents are validated prior to release cargo in-transit.
14. Provide customers with proper shipping documents and/or booking confirmation for dispatch process.
15. Assist with reefer temperature discrepancies.
16. Troubleshoot gate issues/paperwork discrepancies.
17. Request Yard Transfers and update the system accordingly.
18. Maintain and reconcile Inventory of chassis, containers, reefers, etc.
19. Contact customers to return/pick up equipment based on in-terminal full equipment and out of terminal equipment in order to reduce the equipment turn time.
20. Correct and update electronic data information on the operating system.
21. Assist with Hazardous cargo manifest (DCM), update hazardous information and release Hazardous cargo to the vessels for proper segregation and compliance with all Hazmat CFR regulations and procedures.
22. Interface with internal and external customers as needed to obtain missing information.
23. Meet all department requirements to maintain departmental KPI’s within targeted goal.
Skills:
· Commitment to exceed customer expectations
· Experience with Regulatory agencies preferred
· Minimum of 2 years of experience in transportation related business required
· Microsoft Word, Excel, Outlook and Internet skills required
· Must be able to comprehend, speak and write the English and Spanish languages
· Must possess good interpersonal and communication skills
Education:
· Associates Degree or above in related field or related equivalent experience is required.
