Summary:
LNI Custom Manufacturing is seeking a detail-oriented and organized Administrative Assistant to join our team. The successful candidate will play a critical role in ensuring the smooth operation of our administrative functions, including managing accounts payable and receivable, reviewing contracts, maintaining documents, and performing general administrative tasks. Key Responsibilities:
Full ownership of the below responsibilities is pending completion of a probationary/training period.
Accounts Payable: Process and track vendor invoices, ensuring timely and accurate payments.
Accounts Receivable: Generate and send project invoices. Monitor and manage customer payments, follow up on outstanding invoices.
Contract Review: Review and manage contracts, ensuring compliance with company policies.
Document Maintenance: Maintain and organize documents for various systems and programs in use, including AISC, EOS, and ProWorkflow.
Filing and Organizing: File and organize project files, ensuring easy retrieval and access.
Release Package Generation: Print and organize release packages for project completion.
Purchase Orders: Create and issue purchase orders based on received estimates, ensuring accuracy and timeliness.
Vendor Communication: Communicate with vendors regarding existing orders, addressing any issues or inquiries. Following up with vendors to ensure that orders are processed and a lead time is provided.
General Administrative Tasks: Perform a variety of administrative tasks to support the team and ensure smooth office operations.
Qualifications:
- High school diploma or equivalent; additional qualifications in office administration or relevant field is a plus.
- Proven experience as an administrative assistant or in a similar role.
- Proficiency in MS Office (Word, Excel, PowerPoint) and familiarity with office management systems.
- Excellent organizational and time-management skills.
- Strong attention to detail and problem-solving abilities.
- Effective communication skills, both written and verbal.
- Ability to work independently and as part of a team.
Job Type: Full-time
Pay: $18.00 - $20.00 per hour
Expected hours: 40 per week
