ADMINISTRATIVE OFFICE ASSISTANT (FULL TIME OR PART-TIME)
Reports to: Principal in charge of the project
Status: Non-Exempt
JOB SUMMARY:
ID3A seeks a highly responsible, professional, trustworthy Administrative Assistant with good organizational skills and attention to detail to join our team of architects and interior designers in Glastonbury, CT on a Full-time or part- time basis. We are looking for a talented team player with a positive attitude to manage the administrative and clerical functions of the corporation.
RESPONSIBILITIES / SKILLS:
1. Recommend & implement procedures that enhance business operations and/or policies, improve productivity and cut costs; create forms/templates that improve efficiency in reporting methodology and/or workflow.
2. Manage A/P & A/R including but not limited to the preparation of bank deposits; posting A/P and A/R; monthly invoice preparation; collection calls and related activities
3. Facility Management: Duties include but are not limited to the following: Security System monitoring; maintenance/repair issues; office cleaning; order office supplies & furniture; monitor purchase order system; fixed asset & inventory control, filing, basic QuickBook tasks, data entry and generator reports, processing payroll, mail, etc.
4. Preparation of 1099 MISC including obtaining W-9s from vendors
5. Proofreading of proposals and pricing schedules and other miscellaneous office responsibilities.
HUMAN RESOURCES MANAGEMENT:
1. New hire orientations; prepare offer letters; perform exit interviews; prepare termination paperwork including
COBRA tracking; employment verifications & background checks.
2. Company Employee Handbook revisions/updates.
3. Maintain personnel files; track.
KNOWLEDGE, SKILLS, AND ABILITIES:
1. Well organized and detail-oriented with strong analytical, numerical and reasoning abilities
2. Proficiency in word processing, spreadsheet, and accounting programs including the Microsoft Office Suite
& Quickbooks Pro
3. Ability to prepare routine and custom financial reports with high degree of accuracy
4. Excellent communication skills – written & verbal
5. Ability to work independently
6. Ability to establish and maintain effective working relationships with associates, vendors and clients and assist them cooperatively and courteously; well-developed interpersonal skills – ability to get along with diverse personalities.
ADDITIONAL DESIRABLE QUALIFICATIONS:
1. Minimum: Associates Degree in Accounting, Business Administration, or equivalent work experience
2. Minimum: 5 years as an Office or Operations Manager
3. Knowledge of HR policies & practices
