Job Overview:
The Department Assistant play a crucial role in handling a variety of tasks corresponding to the Purchasing and the Data Entry Department. This role manages a high volume of data and information to complete daily tasks that include; coordinating inspection requests, placing and reconciling part orders, entering data to the in-house computer system and reviewing data for quality control and accuracy. Individuals must possess exceptional attention to detail and organizational and communication skills.
Responsibilities:
- Manage data daily to support operations of the department; enter and record data, perform quality control processes to ensure that all documents are completed correctly, and determine the next steps to finalize the documentation process.
- Manage inspection requests and communication, support solving any issues throughout the inspection process until completion. Keep track and record of inspections.
- Monitor and inform inspections pass or failure rate for Mecklenburg County weekly.
- Issue purchase orders to vendors and review or update them at time of release for jobsite related deliveries.
- Utilize industry-specific software and tools to catalog job specific information.
- Organize working schedule based on department needs and prioritize to accomplish daily tasks meeting deadlines.
- Research and solve scheduling conflicts or inconveniences independently.
- Provide support and assistance to internal customers.
Required Skills/Abilities:
- Proficient with Microsoft Office Suite including Excel.
- Strong organizational skills and time management skills.
- Accuracy in data entry and attention to details.
- Ability to prepare, read and comprehend a variety of job related forms.
- Ability to work with various inquiries simultaneously while remaining focused and accurate.
- Resourceful, problem-solving aptitude with the ability to research errors and solve problems independently.
Education and Experience:
- Minimum of 2 years of related experience.
- Construction or plumbing industry knowledge preferred but not required.
- Knowledge of administrative and clerical procedures.
- Experience in a fast-paced office environment.
- Proven experience with data entry and sensitive documentation accuracy.
Job Type: Full-time
Pay: $37,000.00 - $42,000.00 per year
