We are seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative support to our CEO. The ideal candidate will be a detail-oriented professional capable of managing multiple tasks efficiently.
The Executive Assistant to the CEO will sometimes work from their home, and sometimes work at our office in Arlington Heights
The salary range is $55,000-$60,000 per year and is based on experience
Russian or Polish speaking is a PLUS!
Description
The Executive Assistant will be responsible for maximizing the Chief Executive Officers time and promoting a positive company image, maintain relationships, confidentiality between the Board of Directors, the Leadership Team, and Staff. They will have excellent organization skills, and will be creative. The Executive Assistant will reflect the agency's mission, vision, and values.
Essential Functions
The Executive Assistant provides administrative and operational support to the Chief Executive Officer (CEO). Duties include, but are not limited to:
- Manage the CEOs calendar, including scheduling meetings, appointments, speaking engagements, and travel (may include domestic and international) arrangements. Exercise discretion in committing time and evaluating needs.
- Provide coordination, monitoring, and communication of projects and programs managed by the Central Office..
- Schedule departmental meetings; assist in the preparation and distribution of meeting agendas and materials.
- Maintain professionalism and strict confidentiality with all information.
- Attend meetings and take notes of discussion; prepare the initial draft of minutes and summaries.
- Complete a variety of special projects including creating PowerPoint presentations, financial spreadsheets, special reports, and agenda material.
- Prepare the agenda for and attend all Board meetings; transcribe minutes of all such meetings. Assist with appropriate follow-up actions at the conclusion of these meetings. Research and provide background information on various issues as requested.

QUALIFICATIONS:
Experience:
Minimum of 3 years experience as an Executive Assistant or Secretary
- Motivated self-starter with the ability to work collaboratively and independently with purpose and accuracy in a fast-paced environment
- Must have reliable transportation

- Excellent interpersonal skills
- Excellent organizational skills and attention to detail
- Excellent time management skills with the proven ability to meet deadlines
- Strong analytical and problem-solving skills
- Ability to function well in a high-paced and at times stressful environment
- Previous knowledge of office administration, clerical procedures, and recordkeeping systems
- Proficient with Microsoft Office Suite (Microsoft Office Word, Access, PowerPoint and Excel), and database management skills or similar software with the ability to learn new or updated software
Duties:
- Coordinate executive communications, including taking calls, responding to emails, and interfacing with clients
- Manage the CEO's calendar and schedule appointments
- Assist in organizing meetings, events, and conferences
- Conduct research and prepare presentations or reports as needed
- Handle sensitive information with confidentiality
- Perform clerical tasks such as filing, data entry, and document management
- Utilize tools like DocuSign for electronic document signing
Qualifications:
- Proven experience as an executive assistant or similar administrative role
- Strong organizational skills with the ability to prioritize tasks
- Excellent customer service and interpersonal abilities
- Proficient in calendar management and scheduling
- Exceptional phone etiquette and communication skills
- Familiarity with tools like QuickBooks for financial record keeping
