1. Perform daily clerical duties such as answering phones, reading and responding to mail, data entry, basic accounting, scanning and filing documents appropriately.
2. Daily interaction with the Town of Pawling residents, contractors, real estate agents, and attorneys, in support of the Department head/Administrator and in conjunction with other Department employees. Interactions consist throughout the work day by email, phone calls or in person.
3. Reviewing and auditing Building Department files including but not limited to processing fire notifications and code violations and completing municipal title searches.
4. Working directly with the applicants including homeowners and contractors to gather all the necessary plans/drawing, insurance certificates, permit applications, affidavits and permit fees to issue building permits in a timely manner.
5. Following up with appropriate parties to provide the department with any missing documentation necessary to issue pending building permit applications or certificates of occupancy/compliance to complete and close out open permits.
6. Answer any inquiries regarding permitting procedures and requirements, inspections, maps or surveys/building department documentation on file, along with rudimentary inquiries about the Town Code (i.e., setback requirements, bulk regulations).
7. Schedule inspections via homeowner or contractor. Set up the inspection schedule for the building inspector for site inspections or in office meetings. Verify and confirm that all documentation is present for site inspections. Documenting inspectors notes and send certificates by mail or email.
8. Review open complaints and document new complaints received in the building department for inspector's review.
