Job Summary: We are seeking a kind, compassionate, and driven Executive Assistant to support our Executive Director. The ideal candidate will be detail-oriented, proficient in QuickBooks, Therap and possess excellent oversight skills. Knowledge of the HCPF system in Colorado is a significant plus. This role involves assisting the Executive Director with administrative tasks, financial management, and project coordination to ensure the efficient operation of the office.
Key Responsibilities:
- Assist the Executive Director with day-to-day administrative tasks, including answering phones, handling correspondence, and maintaining office supplies.
- Assist the Executive Director with participant benefits included my not limited to Medicaid and Social Security.
- Perform bookkeeping duties using QuickBooks, including invoicing, expense tracking, and financial reporting.
- Create, maintain, and enter information into databases.
- Operate office equipment, such as fax machines, copiers, or phone systems.
- Greet visitors or callers and handle their inquiries or direct them to the appropriate persons according to their needs.
- Organize and coordinate meetings, events, and activities for the Executive Director.
- Maintain accurate and organized records, both digital and physical.
- Prepare documents, reports, and presentations for the Executive Director.
- Manage schedules and communications on behalf of the Executive Director.
- Schedule and confirm appointments for maintenance and vendors
- Oversee maintenance for the office and many residential properties.
- Complete forms in accordance with company procedures.
- Make copies of correspondence or other printed material.
- Operate electronic mail systems and coordinate the flow of information, internally or with other organizations.
- Perform data entry and ensure the accuracy of information in the database.
- Compose, type, routine correspondence, or reports, such as presentations or expense, statistical, or monthly reports.
- Handle confidential and sensitive information with discretion.
- Route and distribute incoming mail or other materials.
- Provide services to customers and other professionals.
- Review work done by others to check for correct spelling and grammar, ensure that company format policies are followed, and recommend revisions.
- Learn to operate new office technologies as they are developed and implemented.
- Reviewing documentation, following up on necessary documentation to ensure it is complete and meets
- Run errands such as going to the post office, getting office supplies, or for general office needs.
· Oversee the maintenance of the company vehicles and keep documentation of the maintenance.
- Support the Executive Director with other administrative tasks as needed.
- Accepts job assignments and additional duties willingly, takes responsibility for own performance and job assignments.
- Anything else as identified by Executive Director. This position will change as the department is developed and the Executive Administrative Assistant will need to be able to adapt to the change and complete tasks as assigned.
- Follows Company and HCPF policies, procedures and work conduct rules.
- Demonstrate the ability to cooperate, work and communicate with coworkers, supervisors, subordinates and/or outside contacts.
- Works efficiently and independently with little or no direction or follow-up to complete tasks of job assignment.
- Use computers for various applications, such as database management or word processing.
- Job task list is subject to change at any time and will be updated as needed
Qualifications:
- High school diploma or equivalent; Associate’s degree or higher preferred.
- Proficiency in QuickBooks and Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- 1 + year of experience in Administrative role preferred
- Knowledge of the HCPF system in Colorado is a plus.
- Administrative Writing Skills such as: Microsoft Office Skills, Managing Processes, Organization, Analyzing Information, Professionalism, Supervisory Experience, Problem Solving, Supply Management, Inventory Control, and Verbal Communication.
- Ability to work independently and as part of a team.
- Experience in a nonprofit setting is desirable but not required.

- Valid Driver’s License and clean driving record
