Job Title: Accounts Receivable Clerk
Overview:
We are seeking a detail-oriented and organized Accounts Receivable Clerk to join our team. The Accounts Receivable Clerk will be responsible for managing financial transactions, posting payments, and ensuring accuracy in accounts receivable records. This role offers an opportunity to work in a dynamic environment and contribute to the financial success of the organization.
Responsibilities:
Accounts Receivable (A/R):
- Receive client payments; post and reconcile payments to ledgers.
- Prepare and execute bank deposits.
- Review adjustments, skipped invoices, and split invoices.
- Obtain necessary approvals, signatures, and authorizations for all A/R adjustments.
- Reconcile, correct, and apply adjustments or additional fees to billing records.
- Balance daily batches and reports; prepare income reports and statistics.
- Post and reconcile receivables to ledgers.
- Obtain approval for posted batches.
- Identify and alert CEO to problems and inconsistencies relative to the maintenance of A/R accounting controls.
- Prepare and interpret a variety of routine and special reports as necessary.
- Maintain records necessary to provide proper audit trails.
- Perform A/R and Deposit accounts analysis and reporting as well as other complex revenue and receivable accounts analysis and reporting.
Collection Responsibilities:
- Perform collection duties by calling clients.
- Compute interest charges as needed.
- Generate collection billings and appropriate demand letters; mail letters to clients.
- Refer collection cases to Collection Agencies or Attorneys.
- Prepare documentation and responses for legal inquiries, litigation, and court appearances.
Additional Duties:
- Monitor credit limits and drawn balances.
- Report required information and reports in a timely manner.
- Maintain accurate and up-to-date financial records for the company.
- Manage divisional and consolidated books.
- Interact with CPA/Accountant to produce reports for taxes and financial reporting.
Qualifications:
- Bilingual (Spanish/English) is required.
- Proficiency in debits and credits, double entry bookkeeping, and accounts receivable processes
- Expertise in QuickBooks is a must.
- Knowledge of corporate accounting principles and practices
- Experience with 10-key typing and attention to detail
- Familiarity with budgeting concepts and financial reporting
- Working knowledge of Quickbooks Online or similar accounting software
- Strong organizational and time management skills.
- Ability to work independently and meet deadlines.
- Good communication and interpersonal skills.
- Associate degree required; preferred in business or accounting.
- Minimum 2 years of experience in bookkeeping.
