We are currently seeking a full time Permit Technician/Administrative Assistant to add to our great team.
This will be an hourly position with scheduled hours Monday-Friday 8am-5pm based in our Sanford office. Some overtime, when needed.
$16-$20/hour - Compensation based on experience.
Applicants will be required to complete skills tests, pass a drug screen and background check.
Job duties to include, but not limited to:
- Manage entire permitting process to include, but not limited to, preparing and submitting NOCs, permit applications, documents and revisions, coordinate with permit offices, permit payments, etc.
- Follow up phone calls and/or emails to ensure timeliness of response from all municipalities
- Prepare permit packets for all job sites
- Schedule in progress and final inspections
- Serve as point of contact for internal and external inquiries related to permitting
- Maintain accurate record maintenance, data entry, correspondence in CRM software (Acculynx) and customer files
- Stay informed of any State and/or municipality changes related to permitting requirements
- Occasional travel to municipality offices, only when required
- Greeting visitors
- Answer incoming phone calls on multi-line phone system
- Scan/enter information in CRM software (Acculynx)
- Entering data into various reports and spreadsheets when needed
- Prepare warranty packets for customers
- Provide internal assistance to our entire staff
- Conduct internet research
- Perform other clerical duties as needed to include, but not limited to, scanning, copying, filing, etc.
- Create and post items on social media
- Special projects, as needed
Experience/Skills:
- General permitting experience – minimum 2 years required
- Proficient in Microsoft Office, Adobe Acrobat and flexibility to learn new programs
- Experience working in a Acculynx is a plus
- Strong typing and data entry skills
- Able to work independently and meet deadlines
- Ability to multi-task and stay organized, especially in urgent situations
- Strong attention to details
- Outstanding customer service and problem solving skills with the ability to investigate and resolve problems diplomatically and calmly
- Effective written and verbal communication skills
- Excellent telephone communication skills
- Positive attitude with the ability to collaborate well with customers and team members
- Adhere to confidentiality guidelines
- Punctual and consistent attendance
- Florida Notary a plus
Physical Requirements:
- Able to read and comprehend instructions, reports, permit applications, etc.
- Able to speak clearly and concisely
- Able to write detailed information and data in clear and proper English
- Able to perform shop math including fractions, percentages, ratios, multiplication, subtraction, division
- Able to move about an office
- Able to lift and carry up to 15 pounds
- Able to remain in a stationary position 50% of the time
- Able to sit, bend, stoop, kneel and stand
