The Job Details (What you want to know)
Time: Flexible 40-80 hours per month to start. As the business grows we will increase your hours if desired.
Location: One on-site meeting per week in Tempe Arizona, the rest of the job will be remote or on-site as needed.
Rate: $25/hr and up based on experience. You will receive raises and bonuses the longer you are with us.
1099 Contract: Monthly retainer contract to start out. Hours will not roll over from month to month, but we may ask for flexibility from week to week. We’ll never request more than 40 hours in a week without additional compensation and notice.
Mileage/Travel Compensation: None; unless we ask for an excessive amount of driving or need you to travel for a specific purpose. In case of any out of town travel, we will agree on compensation and duration ahead of time.
About the Job
The primary goal of the business is to build collaborative experiences that incorporate tabletop rpg gaming and immersive, in person, physical interactions (think escape rooms). Each day is an adventure and we are extremely fortunate to have a lot of fun doing what we do. Equally important, we help our community recharge by being active participants in the immersive experiences we create together.
We are looking for an administrative/personal assistant to support two cofounders, Todd and JP. Experience with Google Workspace and Notion are very important, however, rapport, proactive collaboration, willingness to adapt, and help setup processes will be the most important criteria in a successful candidate.
Simply put, we don’t know what you can do or how best to leverage your talents; we want your feedback and input - please feel free to help us, help you, help us! We have a general sense of our needs, but will want to get a more comprehensive idea of what the venn diagram where “what you can do”, “what you are willing to do”, “what only we can do”, and “which of our tasks are the most important” overlap. Your job is essentially to free up our time and reduce friction caused by repetitive, but essential tasks. Your contribution will be instrumental to our success! You will be a critical member of our team and the more we support each other the more successful we will all be.
We aren’t experts in the administrative arena. We’ve both run successful businesses and are good at strategy, process, and many other tasks. Unfortunately, we can’t do everything. At least not until we invent cloning or a time machine. As such, your ability to take the lead on documenting and establishing processes from an administrative standpoint will be vital to the success of the team. That said, one of the founders has AuHD. Therefore, finding ways to work within his mental framework will be critical.
Here is a random sampling of the tasks you may be asked to perform. This list is neither comprehensive nor is it set in stone. It’s just intended to give you a general idea of scope.
- Checking mail, sorting and filing
- Setting appointments/meetings
- Weekly task list review and daily reminders
- Proofreading
- Social media posts/management
- Booking flights/hotels/cars etc
- Personal tasks (pick up dry cleaning, oil changes, etc)
- Product returns
- Bargain hunting for best deals on supplies / equipment
- Inventory and management of maker space consumables (glue, screws, tape, paint, etc)
- Various info gathering/research tasks (keeping a list of unique competitor experiences, trade shows, potential partners, and/or collaborators)
- Make contact with potential collaborators

- Keep track of multiple objectives and tasks simultaneously
- Listens to instructions and asks questions when clarification is necessary
- Comes up with solutions, not road roadblocks when challenges arise
- Has an easy going sense of humor
- Willing to learn your way around a maker space
- Enjoys building efficiency systems into their life
- Clear and consistent communicator
- Familiarity with Apple products (IOS and Mac OS based hardware/software)
- Adaptability - how well can you pivot and adjust to last minute changes?
