We're looking for an Executive Assistant with a strong desire to be that helpful, sharp-thinking, humble support, who will go the extra mile for the CEO. Excellent writing and communication skills as well as attention to detail are crucial in this role. The ideal candidate is extremely bright, comfortable around high-level individuals, and displays impeccable judgment with the foresight to anticipate issues and resolve them before they occur. The ideal candidate will not only be able to execute on tasks big and small, but also have significant experience in managing family-related schedules, children's activities as well as the executives personal and professional calendar.
Duties and Responsibilities:
- Provide administrative support and act as the first point of contact for the CEO

Manage scheduling children's activities, school calendar, daily communication with nanny, regular communication with school and other parents for arranging kids play dates, carpools, etc.

Research, present options, and manage sign ups for kids as needed: summer camp options, sports teams, organized after school activities, etc.

Maintain an accurate and detailed calendar for the CEO; manage and log incoming schedule requests, reschedule meetings upon request, proactively communicate changes and anticipate and respond to scheduling conflicts

Handle personal scheduling for the CEO and family, including appointments, reservations, and travel logistics

Coordinate all meetings; RSVP for events; schedule business meals and make the appropriate reservations; ensure that the CEO is always aware of their schedule and any changes

Provide special project support to the CEO and team

Interact professionally with high net-worth individuals/donors, respecting privacy and protocol

Work with the office of the CEO team with humility and spirit of teamwork using excellent, ongoing communication to the Administrative Assistant and reporting to the Chief of Staff. Maintain SOPs related to the office of the CEO.

Organize and manage domestic/international travel arrangements for CEO and Chief of Staff

Successful Candidates Will Possess:
- Experience managing family schedules and activities is a must either professionally or personally

5 to 8 years of relevant experience supporting C-level executives

High level of oral/written communication, interpersonal skills, and attention to detail

Ability to plan, initiate and complete work assignments with minimum direction

Comprehensive knowledge of Google Suite

Extremely detail oriented, organized, and able to successfully multitask

Assertiveness, flexibility, ability to thrive in both structured and unstructured environments

Must be able to work quickly and juggle lots of balls in the air at once

MUST be a critical thinker

Team player with a strong sense of urgency

Comfortable with ambiguity in a fast-paced environment

Salary Range: The salary target for this role is $90,000 - $110,000. Final offer amounts depend on multiple factors including candidate experience and expertise, and most recent market data. This position is eligible for an annual bonus based on personal and company performance, in addition to our robust benefits package. The final candidate hired may potentially have less or more experience than originally posted as per job description, and if this happens, an updated salary range may be used for final hiring package.
