Duties/Responsibilities: Provide complex administrative support to the General Manager of Microsoft Advertising Global Marketing, including managing calendars, coordinating meetings and travel logistics, handling expense reports, and supporting team projects and events. Ensure smooth operations by maintaining administrative processes, handling confidential information with discretion, and applying excellent organizational and communication skills to prioritize and manage multiple tasks efficiently.
Typical Day:
-
Provide highly complex calendar support for the GM of Global Marketing with attention to detail, accuracy, and timeliness.

Coordinate meeting responsibilities, including logistics, action items, note-taking, and content preparation.

Manage domestic and international travel scheduling end-to-end, anticipating logistics and itineraries.

Oversee end-to-end logistics for GM’s team meetings and off-sites, including agenda management, booking space and catering, and material preparation.

Reconcile expense reports for the GM and act as an interim approver for the Leadership Team.

Understand the team's budget and work with the Business Manager to ensure budget adherence.

Manage special projects as agreed with manager(s).

Maintain org charts, email distribution lists, and aliases.

Act as the point of contact for team facility needs.

Maintain administrative processes to reduce redundancy and improve accuracy.

Handle highly sensitive material with confidentiality and professionalism.

Apply judgment with an understanding of urgency and priorities, multi-tasking with little direction.

Manage the team’s headcount tracking and NTE movement, including opening requisitions and onboarding new hires.

Provide general team support for a geographically dispersed team.

Collaborate closely with other business administrators.
Basic Qualifications:

10+ years of experience working with executive-level managers in an administrative role.

Strong planning, organizational, time management, and problem-solving skills.

Maintain the confidentiality of highly sensitive material with tact and professionalism.

Highly effective communication ability, both written and verbal.
-
Ability to react with appropriate urgency to situations and requests.
-
Ability to build effective cross-group working relationships and work collaboratively with people at all levels of the organization.

Proficiency with Microsoft productivity software including Outlook, all Office suite programs, SharePoint, OneNote, Teams, as well as Employee Central, MS Space, My Order, etc.

Excellent skills in all aspects of planning, collaboration, analytical capabilities, and high level of attention to detail and proactive awareness.

Ability to operate in a very fast-paced and dynamic environment.
Must Have Skills:
- Complex calendaring (10+ years of experience)

Familiarity with Microsoft systems (10+ years of experience)

Experience as an Executive Admin Assistant under a GM or higher (10+ years of experience)

Prior work experience as Admin Assistant in Microsoft is a must.
Education:
- Relevant Bachelor’s degree or equivalent experience.
