Position Overview:
We are seeking a highly organized and customer-focused Front Desk Receptionist to join our dynamic team. The ideal candidate will be the first point of contact for our clients and visitors, providing a warm and welcoming atmosphere. You will play a crucial role in ensuring smooth office operations and supporting our administrative team.
Key Responsibilities:
- Greet and Welcome Guests: Provide a friendly and professional greeting to all visitors and clients.
- Answer Phone Calls: Manage a multi-line phone system, screen and direct calls to appropriate staff, and take accurate messages.
- Manage Appointments: Schedule and coordinate appointments for our managers, ensuring all meetings and client consultations are properly arranged.
- Handle Correspondence: Manage incoming and outgoing mail, emails, and packages.
- Data Entry: Maintain accurate records and enter data into our company systems as required.
- Customer Service: Respond to client inquiries, provide information about our services, and resolve issues promptly and professionally.
- Administrative Support: Assist with various administrative tasks such as filing, photocopying, and ordering office supplies.
- Maintain Reception Area: Ensure the reception area is clean, organized, and well-presented at all times.
Qualifications:
- High School Diploma or Equivalent: Essential.
- Experience: Previous experience in a receptionist or customer service role preferred.
- Skills: Excellent verbal and written communication skills, strong organizational abilities, and proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Personality: Friendly, empathetic, professional, and able to handle stressful situations with a calm demeanor.
- Customer Focused: A passion for providing exceptional customer service and maintaining positive client relationships.
- Attention to Detail: Keen eye for detail and the ability to manage multiple tasks simultaneously.
