Job Description
This key position is the sole full-time support staff member for the School of Architecture student services suite. The office coordinator is critical to the educational and strategic missions of the School as this position assists all faculty, chairs for the Undergraduate and Graduate programs, as well as admissions. This staff member maintains all building room reservations as well as central room reservations on behalf of our staff to meet the needs of our instruction. This position requires attention to detail to ensure that the needs of our students and faculty related to advising, emerging student concerns and faculty needs are met in an expeditious and succinct manner. The successful candidate will be flexible in adapting to changes in work environment, supporting the office needs as workload fluctuation dictates.
Qualifications
- A bachelor’s degree or an equivalent combination of education and experience is preferred.
- Experience providing administrative or customer service support.

- Exceptional communication skills and a customer-service-oriented mindset.
- Ability to present precise and detailed information professionally in person, in writing and over the phone.
- Ability to work flexibly, moving comfortably between multiple support roles.
- Skilled in the use of Microsoft Office (Outlook, Word, Excel, Access, Teams) and Zoom.
Responsibilities
- Manages front desk and provides reception for the Student Services Suite. This includes, but is not limited to, welcoming guests, answering phones, printing requests, mail distribution, equipment rentals, and parking reservations for guests. Greet and assist students with check in at time of appointment. Answers questions received both through email and over the phone for students, faculty, staff, families, and the public, and refer complex matters as needed. Inventories and orders office and kitchen supplies regularly.
- Monitors room reservation email and manages room calendars. Assists faculty, teaching assistants, and staff with booking spaces for reviews, meetings, etc. Identifies conflicts, maintains policies for use of space, schedules auditorium and other rooms using 25 Live in accordance with University policy.
- Position may provide administrative support, as needed, to the Undergraduate Program Chair, the school’s DEIA Council, and the Assistant Director of Enrollment Management in collaboration with the Director of Advising.
- Maintain student listservs, access to the Slocum Hall using the BOSS system, update school websites as requested, create event registration pages, monitor RSVPs for events. Provide support for school events, as needed.
