Job Overview:
We are seeking a detail-oriented and organized Administrative Assistant to join our team. As an Administrative Assistant, you will provide support to ensure efficient operation of the office. This is a vital role in our organization, as you will be responsible for handling various administrative tasks and assisting with daily operations.
Responsibilities:
- Perform general clerical duties, including but not limited to photocopying, scanning, mailing, and filing
- Answer and direct phone calls in a professional and courteous manner
- Greet visitors and direct them to the appropriate person or department
- Maintain office supplies inventory by checking stock levels and ordering supplies as needed
- Assist with data entry tasks, ensuring accuracy and completeness of information
- Prepare and modify documents, including correspondence, reports, drafts, memos, and emails
- Schedule appointments and maintain calendars for team members
- Coordinate meetings and conferences, including room reservations, catering arrangements, and audiovisual equipment setup
- Assist with organizing and maintaining office common areas
Skills:
- Proficient in computer literacy, including knowledge of Microsoft Office Suite (Word, Excel, PowerPoint) and Google Suite (Docs, Sheets, Slides)
- Strong organizational skills with the ability to prioritize tasks effectively
- Excellent attention to detail and accuracy in data entry tasks
- Previous experience in a dental office or similar healthcare setting is a plus
- Ability to transcribe dictations accurately
- Familiarity with clerical procedures and office management systems
- Strong written and verbal communication skills
