About This Role
The Receptionist plays a vital role in the hospital team, striving to optimize client and pet intake by efficiently managing the hospital's operations. They aid doctors and medical support staff by fostering clear communication with both teammates and clients, delivering outstanding customer service across all aspects of pet care. Additionally, they uphold a safe, productive, and cohesive hospital atmosphere, promoting a positive team culture through support and encouragement.
Technical Skills
- Handle incoming phone calls for the hospital, prioritizing and directing them to schedule appointments efficiently and maintain optimal hospital flow.
- Maintain meticulous documentation, including client and pet records, encompassing referral documents, and previous medical histories.
- Actively engage in client recruitment by promoting hospital services.
- Provide comprehensive assistance to clients, including imparting necessary instructions, information, invoices, dispensing prescription items as per veterinarian directives, and scheduling future appointments.
- Stay informed about vaccination protocols within the hospital, educating clients on preventative care recommendations, pet health necessities, and available hospital services.
- Utilize various hospital computer systems for documenting medical records, and facilitating communication with clients and teammates, including the hospital practice management system, client communication platforms, and online pharmacy systems.
- Prepare and dispense medications accurately as per veterinarian instructions, ensuring proper documentation in pet records and appropriate charges to clients.
- Manage hospital finances by maintaining precise balances, handling client transactions, adhering to cash and credit card procedures, and following opening and closing protocols meticulously.
- Adhere to all OSHA guidelines, ensuring proper safety protocols and handling of hazardous materials.
- Fulfill any other duties as assigned.
Client Relationship
- Ensure a high standard of service through attentive and courteous assistance, employing critical thinking and problem-solving skills.
- Take responsibility for enhancing the hospital's standing within the community by fostering positive client interactions and encouraging feedback from clients.
- Champion pet welfare by educating clients on preventative care, treatment recommendations, and all available hospital services and procedures.
- Uphold a positive demeanor in all interactions with clients, pets, and fellow teammates.
- Demonstrate empathy towards clients and treat pets with compassion and respect.
- Maintain open communication with clients regarding the medical status of their pets.
Requirements:
- Preferred qualifications include a High School diploma or GED certificate, along with at least one year of direct customer service experience.
- Candidates should demonstrate the physical and mental capacity to thrive in a fast-paced and demanding environment.
- Proficiency in computer usage and familiarity with medical software, including Microsoft Word and Excel, is essential.
- Strong verbal and written communication skills, good judgment, and the ability to handle stressful situations are must-have attributes.
