High end general construction company is looking to hire an office assistant with prior experience working for a construction company. Please only apply with priori experience.
OFFICE DUTIES:
1. Basic knowledge of construction terminology
2. Emails:
· Read and monitor daily emails
· Respond to emails
· Categorize emails accordingly
3. Search for materials and place orders
4. Account Payable:
· Expenses log
· Entering bills (material receipts, vendor payments etc.)
· Monitoring subcontractor/vendor payments
· Entering and filing insurance payments
5. Submittals and specifications
6. Account Receivable:
· Change orders
· Invoices
· Estimates
· Enter received check payments into specified job logs
7. Credit card statements review ( matching with entered transactions)
8. Updating company logs
· proposal logs
· change order log
· project logs
· subcontractor logs
· submittal logs etc.
9. Updating project files (both on the computer and in physical job folders)
10. Picking up phone calls
11. Ordering office supplies
12. Prepping meeting materials
