Job Description
We are searching for an Office Assistant to provide support to our office needs. You will be responsible for professionally interacting with management within the company, comfortably communicating with customers, vendors, and visitors, and flawlessly handling confidential and critical details. In this role, it will be crucial for you to anticipate the needs of the team and work flexibly to accommodate schedules.
The ideal candidate will have experience in customer support as well as providing support to coworkers. They should be well organized and be comfortable responding to phone calls and emails. Lastly, this individual should be able to draft documents, organize data, and help the office staff with any necessary preparations.
Responsibilities
- Customer Care: Relay customer requests and concerns via phone, text, and email
- Utilizing Real Green for customer intake and outgoing billing tasks
- Follow-up with customers regarding non-payments
- Efficient in daily use of Excel and Word
- Answering the phones and transferring calls as needed
- Sorting and delivering incoming mail and collecting and sending outgoing mail
- Running errands and making deliveries around the office or to external parties
- Transporting people to appointments and meetings as needed
- Collecting, filing and organizing office documents, such as reports and confidential records
- Managing digital document filing, including encrypted documents and email correspondence
- Monitoring office inventory and ordering supplies
- Preparing or processing invoices or estimates
- Assisting with accounts payable and accounts receivable
Qualifications
- Notable listening skills with ability to courteously understand concerns to resolve customer issues quickly and efficiently
- Professional level verbal and written communication skills to provide customers with accurate information about products and services
- Well-organized, detail-oriented, and able to multitask, prioritize, and problem solve with quality follow-up skills
- Substantial time-management skills; able to organize a daily workload by priorities
- Proficient in using/learning a range of computer software and phone systems
