WORK SCHEDULE

Work Week:Monday through Friday7:30 A.M. to 4:30 P.M.
POSITION SUMMARY:
Reporting to the Assistant Principal of Student Life/ Director of Counseling the Office Coordinator provides administrative and organizational support for the counselors in the Counseling department. Responsibilities include day-to-day logistics, be point person for various counseling activities, on-going communication with families/students/faculty, manage counseling communication and logistics of events and track past events capturing historical information, maintaining office supplies and storage area, and hospitality when needed for various counseling meetings and related events.
ESSENTIAL FUNCTIONS:
The Office Coordinator is responsible for planning and executing school wide counseling events(listed): Student Orientations, Student Homerooms, In-School SAT / PSAT, College RepresentativeVisits (Sept-October), College Essay Review Day, Career Day, Freshman & Junior Counselor Family Meetings, Class Level Parent Evenings, Case Studies Night, University Night, RACC / JET CollegeTour, Financial Aid / FAFSA Night
The Office Coordinator is also responsible for the following specific responsibilities that include but are not limited to the following:
- Coordinate weekly department meetings, generate weekly agenda minutes with special attention to counseling action items
- Maintain Google Drive
- Maintain/Update Counseling Canvas Landing Pages and Counseling News & Events Page and Counseling Public Calendar
- Create/Update Registration Forms (Google Forms, Formstack) for Counseling Events
- Coordinate College Rep Visits and College Fairs
- Enter all counseling department events in School Dude
- Prepare and update annual matriculation list for graduation booklets, and various community publications
- Create and Assign In-coming Student files (9th grade and Transfer students) and parent questionnaires
- Update & maintain Counseling Department bulletin boards
Customer Service & Communication
- Provide superior customer service support by researching and responding promptly to inquiries made by students, parents, faculty or other School Administrators.
Education, Specific Knowledge, Skills, and Abilities:
- Bachelor’s degree and 5 years’ professional experience or combination of education and experience leading to ability to perform duties successfully.
- Requires high degree of confidentiality, discretion and organizational skills, keen sense of judgment, attention to detail, ability to multi-task with projects of varying degrees of priority.
- Superior communication skills and demonstrates leadership skills when interfacing with parents, students and faculty members.
- Ability to be flexible, working successfully with multiple school counselors with varying work and leadership styles.
- Proficiency with and/or ability to learn new computer programs quickly (Cialfo, CollegeKickstart, PowerSchool, Canva, Google Suite)
